Project Administrative Assistant/Coordinator

Responsible to process paperwork in a timely and accurate manner to begin the project, perform work in progress, and closeout the project. All paperwork pertaining to the project (contract, submittals, subcontracts, etc.)

Roles & Responsibilities of Project Manager (PM), Superintendent (Supe), and Project Engineer/Coordinator (PC)

Contract

o Receipt of Award Letter or Contract Documents:

o Email documents to Bonding Company for Performance & Payment Bond & COI

o Submit all necessary paperwork to agency per Award letter by date provided in letter

o Complete project checklist & folders in server

o Prepare contract documents binders for PM & Supe

o Prepare Project Folders and Supplemental Folders, Submittal Register

o Email executed contract to Bonding Company

Estimator Meeting (Estimator pass on to PM & PC)

o Budget, Cost Codes, List of Subcontractors/Suppliers

o PM to provide PC with date to receive submittals from subs. Hard copy or email

Subcontractors/ Suppliers

o Estimator/ PM to provide PC with Proposals to write up Subcontract Agreements or Purchase Orders

o Create Sub Log

o Email notice of intent requesting submittals, Subcontractor Info form, etc.

o Prepare Subcontracts/ PO’s. PM to review (within 2 days from receiving). After PM’s acceptance, provide Estimator with hardcopy to “initial” prior to sending to subs/suppliers

o Email subcontracts/PO’s with wage rates, sub info form, sub daily form, lien release forms, etc. Request submittals, COI, safety plans and AHA’s, etc.

Submittals – responsible to make sure all submittals are turned in

o Provide Submittal Register to PM to review prior submitting to client

o PM to prepare SBI submittals (1 week from Estimator Meeting)

o PM to review submittals (within 1 week of receiving)

o PM will provide the spec sections/paragraph no./drawing sheet no. for submission & any deviations/ additional comments.

o If incomplete, PM to provide info that’s missing so PC can follow up with sub/supplier

Supe Paperwork

o Prior to Coordination meeting - Contract, Plans, Specs, Subcontracts/ PO’s, RFI’s, Submittals, etc.

o Site Forms prior to starting on site (Sign In Sheets, Sub Daily Report Form, etc.)

o Safety Folder prior to starting on site (Inspection Forms, SDS Folder

o Posters prior to starting on site (i.e. employee rights, OSHA, etc.)

Obtain necessary passes/ clearances, if any, for SBI & make sure Subcontractors are doing the same

Building Permit
