High school diploma or equivalent. Business degree preferred, but not required.
3+ years of secretarial or administrative experience.
Excellent written and verbal communication skills.
Excellent organization skills.
Ability to handle multiple tasks simultaneously; can establish priorities and an effective course of action.
Ability to perform essential duties and responsibilities efficiently and accurately.
The Project Assistant (PA) is responsible for assisting in general administrative duties to support the project operations
under the direction of a project management team. The primary function of a PA is to ensure all communication is distributed
to the proper personnel of the project team and to maintain a detailed tracking system of all documents (submittals, RFIs,
contracts, logs, etc.) related to the project, from the inception to completion.
CORE RESPONSIBILITIES
Assembles, compiles, and/or prepares the necessary documents to ensure efficient and complete documentation for
the projects – Contracts, purchase orders, project insurances, bonds, notice of commencements, legal documents
required for project start/completion, owner pay requests, warranties, owner operation and maintenance manuals, asbuilt drawings. Monitor and enforce legal and insurance compliance with respect to all required construction
documents.
Assist with document control from initial startup to final completion of project closeout – Keep and maintain record set
drawings, specifications and addendums or other pertinent revision plans. Ensure all original contracts or legal
documents are preserved and systemized for central filing and maintain legal storage of filing system.
Support Project Team – Route and distribute project correspondences (submittals, RFIs, change proposals, daily
reports, timesheets, etc.) and track related logs. Maintain a revision log for drawings and specifications.
Ensure weekly certified payroll reports are accurately and timely submitted as required.
Ensure timely responses from subcontractors for required documents and vendors/suppliers for orders and deliveries
(schedule appointments, supplies).
Communicate with all project stakeholders (general contractors, field employees, suppliers, and vendors).
General Office Support—Meet/greet visitors, answer phones, daily office errands, miscellaneous items: (airport pick
up & drop off, refuel vehicles), freight pick up, and set up Zoom meetings.
