Assist the Project Manager in all aspects of managing projects. Ideal for someone who enjoys variety in the workday and excels at organization, customer service, and effective communication. The Project Assistant will work directly with the Project Management team by assisting them with all aspects of their day, including project setup, budgets, submittals, planning, coordinating, subcontractor selection, purchasing, and construction schedule.
Responsibilities:
Assist in setting up jobs, creating job folders, and completing construction plan reproduction and scanning.
Maintain, monitor, and organize project records and documentation on incoming project opportunities.
Create, organize, and distribute documents.
Support the project manager team in working with the county to obtain all necessary permits and licenses.
Coordinate and track submittals, RFIs, change orders, schedules, and the distribution of updated construction documents to subcontractors and suppliers.
Maintain and distribute safety documentation.
Process monthly billings and pay applications.
Perform additional tasks and responsibilities as needed.
Qualifications:
Education or formal training in business administration is good but not required.
Still, relevant work experience in an administrative support position would be nice but not required.
Prior administrative experience in a construction setting is a significant benefit.
What is required: A good attitude, a willingness to learn, and good humor. Working knowledge of Microsoft Office 365, including Excel, Word, and Outlook.
Results-orientated with a proven ability to organize, plan, and prioritize work to meet deadlines.
High level of motivation, integrity, and commitment to team and customers.
This can be entry-level for the right person, but an experienced, highly skilled person is very good too.
If possible, the goal is for the right person to move up quickly into Project Management responsibilities. Depends on the individual. We are looking for someone for long-term employment in a family-owned business that's been around for a long time in West Hawaii.
