Job SummaryThe Payroll Specialist is responsible for collecting and entering payroll data, and processing bi-weekly payroll for 300+ employees through ADP. Through data gathering and quality control checking procedures, verification and assurance of accurate payroll is highest priority. The Payroll Specialist will set up and maintain employee files, process employee status changes, field payroll questions, notify employees of any payroll modifications, manage payroll taxes and reconciliations including W-2’s, process bi-weekly, monthly, quarterly, and annual reports, and assist the Human Resources Director with various administrative HR items. Duties & Responsibilities
Processes multi-state bi-weekly payroll for over 300 employees
Updates internal databases with new hire information
Sets up and maintains employee files (physical/digital), processes changes, and fields payroll questions
Notifies employees of payroll modifications
Creates manual checks upon request
Performs high volume data entry in ADP, Excel, and various vendor websites
Generates reports on a bi-weekly, monthly, quarterly, and annual basis to corporate and management levels
Prepares and distributes accurate W-2 forms
Conducts New Hire Orientation
Responsible for managing and reconciling payroll taxes, W-2’s and various other required reporting
Process audits of various payroll, benefits, or other HR programs; recommend corrective action as appropriate
Provides support to HR Department with various administrative functions, research, and special projects
Maintain Human Resources and Payroll files
Perform other duties as assigned
Qualifications & Job Requirements
Require minimum 5 years’ direct payroll experience with ADP software
Prefer a minimum 2 years’ experience in an administrative role
Advanced Excel and spreadsheeting skills required
Experience with a background in accounting/finance function a plus
Other Prerequisites
Pass pre-employment drug screen and background check
Ability to obtain Airport Issued security badge
Work Environment & Physical Requirements
Work is performed primarily in an office environment, indoors in a temperature-controlled environment, and requires sitting at a desk up to 8 hours/day.
