Job Summary:
The Office Assistant at our freight brokerage will be responsible for supporting daily office operations, including assisting with administrative tasks, maintaining organization, and ensuring smooth communication between departments. This role is vital in ensuring that office processes run efficiently and contribute to providing excellent service to clients, carriers, and internal teams.
Key Responsibilities:
Administrative Support: Handle administrative tasks such as filing, data entry, and maintaining records related to freight transactions.
Documentation: Assist in preparing and reviewing bills of lading, load confirmations, contracts, and other essential paperwork for shipments.
Communication: Act as a liaison between clients, carriers, and the brokerage team. Manage inbound and outbound calls, emails, and other communications to provide accurate and timely responses.
Scheduling & Coordination: Help coordinate pick-ups, deliveries, and scheduling needs with carriers and customers. Ensure all relevant parties are updated on shipment status and any changes.
Data Management: Enter shipment details and other pertinent information into the company's transportation management system (TMS) and maintain accuracy in records.
Office Organization: Keep the office area organized by managing supplies, keeping track of inventory, and ensuring workspaces are neat and prepared for daily operations.
Assisting with Billing: Support the accounting team by organizing invoices, handling basic billing inquiries, and assisting with follow-ups on outstanding payments.
Customer Service: Provide excellent service by addressing questions and concerns from clients or carriers and escalating issues to the appropriate team members as needed.
General Office Duties: Handle general office duties, including copying, scanning, faxing, mailing, and other tasks as assigned to support the team's needs.
Qualifications:
Education: High school diploma or equivalent required; additional certifications in office administration or related fields are a plus.
Experience: Prior experience in an office or administrative role preferred but not required, ideally within the logistics, transportation, or freight industry.
Skills:
Strong verbal and written communication skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Ability to work independently and as part of a team
Excellent organizational skills and attention to detail
Ability to multitask and prioritize in a fast-paced environment
Familiarity with transportation management systems (TMS) is a plus
Work Environment:
This position is primarily based in the office and may require some light physical tasks such as organizing files, lifting supplies, and managing office equipment. The role may also involve some extended hours during peak times.
