Position Summary: The Assistant Registrar provides overall management and strong leadership necessary to administer Registrar services and functions.In consultation with the Registrar, the Assistant Registrar is responsible for the functional setup, maintenance, and evaluation of the College’s Student Information System – Colleague by Ellucian – as well as other key systems that are used to administer Registrar functions. The Assistant Registrar recommends, develops, and implements policies and procedures responsive to changing College policies, compliance issues, and emerging trends in the field.Essential Functions: Evaluates and maintains functions within the College’s registration and records system(s) – Colleague by Ellucian, the customer relationship management system (CRM), and other academic and student records systems Provides leadership in the development of efficient, technology-driven processes to ensure that the highest quality data standards are met within the student records systems Recommends, develops, and implements policies and procedures responsive to key performance indicators to improve business processes Participates with colleagues as a subject matter expert within the College’s IT governance structure Collaboratively reviews and analyzes data trends and provides strategic recommendations for continuous improvement Engages in Registrar program assessment by providing relevant data Ensures compliance with enrollment reporting and reconciliation Maintains written policies and procedures used in the Registrar’s Office, oversees office communications, and engages in strategic planning Maintains expert-level knowledge of applicable policies, procedures, regulations, rules, statutes, and laws Keeps abreast of federal and state regulations and institutional policy to ensure compliance with those requirements Maintains effective working relationships with faculty, staff, and the community to actively support a team approach to accomplishing goals Hires, trains, and supervises Registrar staff to include providing feedback on individual performance Manages ongoing staff development to ensure staff have the appropriate skills and training to perform their responsibilities effectively Some early evening and weekend hours may be requiredMinimum Qualifications: Bachelor’s Degree in a relevant discipline or equivalent experience. Master’s Degree preferred. 3 years of experience, including prior supervisory/management experience, in a college/university Registrar’s office or equivalent experience. 5 years of experience preferred. Strong functional system experience, experience implementing new systems and expertise in problem-solving within software systems. Strong understanding and knowledge of computer technology specifically related to student information systems. Experience with Colleague by Ellucian ERP or other major ERP systems preferred. Knowledge of FERPA laws, regulations, and guidance. Knowledge and understanding of enrollment and curricular methods, policies, and procedures. Broad understanding of higher-education practices and trends. Knowledge of admission, assessment (placement), financial aid, registration, and student account processes and procedures. Strong cross-cultural interpersonal and writing skills are necessary, including public speaking skills and the ability to represent the college in a positive way to diverse populations. Experience working in a community college setting, serving a diverse, non-traditional student population preferred. Bicultural/bilingual (Spanish/English) preferred.Additional Instructions for Applicants: A cover letter is required.
