Job DescriptionLocation: Chicago, ILHospital: RUSH University Medical CenterDepartment: Breast Cancer TaskforceWork Type: Full Time (Total FTE between 0.9 and 1.0)Shift: Shift 1Work Schedule: 8 Hr (9:00:00 AM - 5:00:00 PM)Summary:Equal Hope is a non-profit sitting on the Rush University Medical Center Campus. Equal Hope is dedicated to eradicating women’s health racial, ethnic and class disparities and is a mission-oriented healthcare justice organization. Equal Hope is seeking a highly organized and proactive Executive Assistant to support the Executive Director in a dynamic and fast-paced environment. The Executive Assistant will play a crucial role in managing the daily operations of the office, providing administrative support, and ensuring the smooth functioning of the organization.Other information:Required Job Qualifications: Proven experience as an Executive Assistant or in a similar administrative role. Strong organizational and time-management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office suite and other office management software. Ability to handle confidential and sensitive information with discretion. Detail-oriented and resourceful with a proactive approach to problem-solving. Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment. Oversee the general operations of the office, ensuring that the office runs efficiently and effectively. Handle incoming calls, messages, and inquiries, providing professional and courteous assistance to callers. Manage office supplies inventory, place orders, and ensure adequate stock levels for smooth operations. Handle incoming and outgoing mail, including sorting, distributing, and processing postage. Maintain and update the organization's development database, including donor records and fundraising activities. Provide executive-level administrative support to the Executive Director, including preparing documents, reports, and presentations. Assist in drafting and formatting communications, memos, and correspondence on behalf of the Executive Director. Coordinate logistics for meetings, including preparing agendas, materials, and recording minutes when needed. Assist in organizing and executing events, fundraisers, and other special projects as assigned.Rush is an equal opportunity employer.
