Description We are offering a contract to permanent employment opportunity for an Executive Assistant in Chicago, Illinois. The role involves providing support and coordination for our executive team within the industry. This role is based in our office and will involve administrative and organizational duties.Responsibilities: Organize and manage the CEO's daily schedule, including setting up appointments and meetings. Act as a representative for the CEO to both international and local stakeholders. Organize and coordinate meetings, events, and detail oriented conferences. Handle CEO's correspondence, including managing emails and conference calls. Assist in the preparation for board meetings, ensuring all necessary materials are prepared and organized. Arrange domestic and occasional international travel itineraries, including booking travel arrangements and accommodations. Perform duties akin to a personal assistant, such as arranging medical appointments and transportation. Manage the CEO's expense reports, ensuring all expenditures are accurately recorded and processed. Use CRM and other software like Concur and About Time for various tasks including calendar management and communication. Maintain a detail oriented demeanor while handling sensitive information, demonstrating strong organizational capabilities. Requirements Minimum of 5 years' experience working as an Executive Assistant or in a similar role Proficiency in using software such as Concur, CRM, and About Time Expertise in Calendar Management, including planning and scheduling meetings, conferences, and travel Excellent communication skills, both written and oral, to handle correspondence and conference calls Experience in arranging detail oriented conferences and maintaining a detail oriented demeanor Commitment to detail oriented development and learning new skills Strong organizational awareness and capabilities, with a proven ability to manage multiple tasks simultaneously Experience in arranging travel and booking travel arrangements Proficiency in managing email correspondence in a detail oriented setting Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
