Description We are offering an exciting opportunity for a Sr. Administrative Assistant in the non-profit sector, based in Chicago, Illinois. As part of our team, your role will be pivotal in ensuring the smooth operation of our organization through a variety of administrative tasks. This role offers a contract to permanent employment opportunity.Responsibilities: Coordinate and manage travel arrangements for the President and Founder, including logistics, itineraries, and meeting materials Connect with team members to ensure seamless travel experiences Provide administrative support to external consultants and advisors as needed Support the Director in the planning and execution of events such as conference receptions and convenings Maintain a record of the President's engagements in Airtable Format and edit PowerPoint presentations Copyedit and proo materials Conduct research on various programmatic topics as required Draft correspondence and memos for the Director of the Executive Office Maintain updated contacts and upload email correspondence in Salesforce as requested by the Director of the Executive Office Provide support for calendaring and meeting preparation as necessary Process reimbursements for executives and others as assigned, complete credit card reconciliations and submit check requests Assist with internal processes such as visitor management, contracting, weekly updates, and meeting room utilization Manage mailings and inventory of the President's books. Requirements Proficient in Calendar Management, including scheduling and rescheduling appointments, meetings, and events. Excellent Communication skills, both verbal and written, to effectively correspond with various stakeholders. Experience in handling and organizing Conference Calls with multiple participants across different locations. Proficiency in Microsoft PowerPoint for creating, editing, and presenting engaging presentations. Experience in preparing and presenting Annual Reports during Annual Meetings. Ability to Coordinate Meetings, including logistics, attendees, agenda, and follow-up actions. Experience in planning and conducting External Meetings with partners, donors, and other stakeholders. Familiarity with International Travel procedures, including visa processing, ticket booking, and accommodation arrangements. Skill in Schedule Travel plans for team members, ensuring all travel requirements are met. Ability to apply Mistake Proofing techniques in administrative tasks, ensuring accuracy and efficiency. Experience in Coordinating Events, including venue selection, catering, guest management, and post-event follow-ups. Knowledge of and experience working with Educational Institutions, including schools, colleges, and universities.
