Small boutique estate planning, probate, real estate and litigation law firm in Northfield, IL is looking for an individual to assume administrative assistant duties in the office Monday through Friday. If you are detailed oriented, organized, dependable, and like to help people, this position is a position for you. Law firm experience preferred. Duties include and are not limited to:
Greet clients at reception desk
Answer phones forwarding calls to attorneys and be the gatekeep for solicitation and sales calls
Open and process mail
Process mail and credit card payments including posting to client accounts
Draft and send engagement letters
Maintain Corporate Meeting Minute Binders
Support document signings with printing, copying and scanning of documents
Set up new clients in client tracking system and create required electronic and manual files
Maintain electronic and paper files for clients
Prepare USPS Certified, UPS and FEDEX mailings
Court Filings management and Docketing on Firmwide Calendar
Travel Arrangements for Attorneys
Scheduling Court Reports, Courtesy Copies, etc for Court Dates
Manage attorney calendars
Data entry for clients including set-up, billing and payments
Managing Payroll Hours/Emails
Ordering and maintaining office and toner supplies
Schedule continuing education webinars and zoom webinars when needed
Experience with Sage TimeSlips a plus
Skilled in Microsoft Word, Excel and Outlook
Strong social media skills a plus
