Plan and coordinate schedules for executive team and events; ensure schedules are followed and respected
Research, prioritizes, and follow up on incoming issues and concerns addressed to multiple Company Leaders, including those of a sensitive or confidential nature; Determine appropriate course of action, referral, or response
Provide a bridge for smooth communication between the Executive team and internal departments by maintaining credibility, trust and support with senior management staff
Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive team's ability to effectively lead the company
Prioritize conflicting needs; handle matters with speed and efficiency, being proactive, and following through on projects to successful completion, often with deadline pressure
Maintain discretion and confidentiality regarding any relationships, discussions, and material that the executive assistant is privy to
Manage an extremely active calendar of appointments
Execute special projects
Complete expense reports including composing and preparing correspondence that is sometimes confidential
Arrange complex and detailed travel plans, itineraries, and agendas
Compile documents for travel-related meetings
Understand and demonstrate Essendant’s Core Values and Guiding Principles.
Perform other duties as assigned
Skills/Knowledge Required:
Superior organization and time management skills
Ability to maintain complete confidentiality at all times
Ability to exercise discretion and sound judgment
Ability to interact and communicate with executive management
Ability to identify problems, analyze information, and develop solutions to complex challenges
Ability to multi-task in a fast paced, dynamic organization with cross-departmental interaction
Excellent verbal and written communication skills
Knowledge of administrative functions and procedures including the ability to manage records, transcribe information, and create forms
Comprehensive knowledge of organization policies and procedures
Solid grasp of Standard English fundamentals and conventions (word usage, spelling, grammar, syntax, etc.)
Proficiency in Microsoft Office products, including Word, Excel and PowerPoint, with the ability to create presentations as needed
Education and Experience:
High School Diploma or GED required; some college coursework preferred
Experience in an admin role or managing projects preferred
Corporate experience preferred
