Field Accounts Payable SpecialistWhat Do You Offer Us?

Update and Maintain AP log for Vendor invoices.

Volume of 400-600 invoices per month.

Enter vendor tickets received from field into log.

Clear open items once invoices are received with actual invoice amount.

Contact Vendor to ensure timely issuance of invoices and proper supporting documentation.

Determine Reimbursement status of invoices received.

Review and Approve invoices in the AP system for payment and proper coding.

Correct coding as needed provide information to ensure proper invoicing of reimbursable expenses to customers.

Maintain open AP in system to ensure approval within 10 days of invoice entry.

Work with Biller to provide correct information to invoice to customer.

Weekly submission of Prior week AP log to FP&A on Tuesdays by end of the day.

Fast Paced environment with High Volume and Overtime hours anticipated.

General administrative duties, other tasks as assigned by Management.

What is Required?

High School Diploma or GED

Heavy AP background

Possess high level of attention to detail and ability to work independently

Ability to communicate effectively with all levels of management

Ability to work in a construction environment with field and office personnel present

Good writing and editing skills

Intermediate level of proficiency or above in MS Outlook, Word, and Excel Specifically MS Excel, pivot tables and graphs

Knowledge of general office machines/phones

Ability and willingness to work cooperatively with others

High degree of discretion dealing with confidential information

Ability to prioritize daily tasks

This position is subject to the Federal Department of Transportation (DOT) drug & alcohol testing regulations as outlined in 49 CFR Part 382 and/or 49 CFR Part 199.
