Description We are looking for a diligent Administrative Coordinator to join our team in CEDAR RAPIDS, Iowa. This contract-to-hire opportunity involves several tasks centered around administrative support and coordination in a busy office environment. The chosen individual will handle a range of responsibilities including managing incoming communication, processing documents, and maintaining accurate data records. Responsibilities: Manage and distribute all incoming communication including mail, faxes, and phone calls Handle the processing of invoices received from various vendors Oversee the preparation and dispatch of outgoing mail including standard, priority, overnight, and express mail Execute data entry tasks, ensuring accuracy and efficiency in routing and matching Manage the filing and organization time-sensitive client requests Provide back-up support for Operations Associate during breaks and other times of absence Ensure the timely printing and updating of W-9 forms Assist in the scanning and management of department mail and documents.Requirements Proficient in answering inbound calls and handling inquiries professionally Strong communication skills, both written and verbal Experience in document scanning and managing electronic files Responsible for handling and distributing department mail accurately and timely Ability to work independently and as part of a team Detail-oriented, organized, and able to multitask effectively Proficient in the use of office equipment and computer software such as Microsoft Office Suite Must have a high level of integrity and confidentiality Proven track record of administrative support in a professional environment Ability to prioritize tasks and meet deadlines in a fast-paced environment Excellent problem-solving skills and the ability to make decisions independently Willingness to learn and adapt to changing job requirements and tasks.Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
