Description We are in the process of recruiting an Executive Assistant to join our team located in Lenexa, Kansas, 66219, United States. This position is an integral part of our Architecture firm, where you will be tasked with administrative duties such as managing schedules, organizing events, and maintaining records. This role offers a short term contract employment opportunity. Monday-Friday 830am-5:30pmResponsibilities: Manage the coordination of annual ICSC Event including aspects such as travel and project information Responsible for tracking and maintaining the President's continuing education requirements and State Registrations Handle the scheduling of appointments and tracking of meeting times and locations Carry out word processing tasks including proposals, correspondence, and reports Screen, route, and place phone calls as necessary Obtain necessary signature(s) for plans and documents Arrange travel requirements (airfare, car rental, hotel, etc.) Responsible for obtaining time from President regarding client billing Maintain President’s architect licenses and renewals of various detail oriented memberships Handle the maintenance of company calendar and contact list Approve supply orders when necessary Provide back-up support to receptionist when required Perform various other duties as assigned by the President Organize holiday dinner for employees and holiday gifts/cards for clients.Requirements Proficiency in ADP - Financial Services to manage tasks related to payroll, HR services, and benefits. Knowledge of Concur for expense management and travel planning. Familiarity with CRM software to track client interactions and manage customer relationships. Experience in Calendar Management, ensuring all appointments, meetings, and deadlines are efficiently organized. Excellent Communication skills to interact effectively with clients, team members, and other stakeholders. Ability to handle Conference Calls, including scheduling, hosting, and ensuring all participants have necessary information. Capable of handling Correspondence, including drafting emails, letters, reports, and other business communications. Experience in Event Planning, coordinating all aspects of corporate events from conception to execution.
