Position Overview:
The Office Manager will serve as the backbone of our operations, ensuring the smooth day-to-day management of the office and supporting the team to deliver exceptional service. This role combines administrative oversight, team coordination, and customer service responsibilities.
Key Responsibilities:
Office Administration
-Oversee all administrative tasks, including scheduling, filing, and data entry.
-Maintain office organization, supplies inventory, and equipment upkeep.
-Manage vendor relationships and office-related contracts.
-Implement and maintain office policies and procedures to improve efficiency.
Team Coordination:
-Coordinate staff schedules and ensure adequate coverage for cleaning assignments.
-Communicate effectively with team members regarding daily tasks, changes, and updates.
-Assist with onboarding new employees, maintaining HR records, and processing payroll.
Customer Service:
-Serve as the primary point of contact for client inquiries, feedback, and complaints.
-Oversee appointment bookings, cancellations, and reschedules, ensuring customer satisfaction.
-Resolve client issues professionally and efficiently.
Financial Management:
-Process invoices, track expenses, and prepare financial reports.
-Monitor and manage accounts receivable/payable in coordination with the finance team.
-Ensure compliance with all local, state, and federal regulations related to business operations.
Technology & Reporting:
-Utilize software tools for scheduling, customer relationship management (CRM), and reporting.
-Generate weekly and monthly performance reports for management review.
Qualifications:
Experience: Minimum of 2 years in office management, preferably in a service-based industry Janitorial Cleaning
Education: Bachelor’s degree in business administration or related field (preferred but not required).
Skills:
-Proficiency in Microsoft Office Suite and CRM software.
-Exceptional organizational and multitasking abilities.
-Strong written and verbal communication skills.
-Ability to lead and motivate a team.
