JOB DESCRIPTION- CATERING DEPARTMENT ASSISTANT
The Gracious Bakery Catering Department Assistant is responsible for executing all aspects of
catering orders, helping to enter invoices in quickbooks, respond to and process placed orders,
execution and delivery of orders, as well as production of chai and syrups for the retail stores.
This position reports to the Catering Department Head, or otherwise the Operations Manager.
The catering assistant must be open to communication, receptive to constructive feedback, and
be willing to work proactively as a team member. Employees are required to use Slack as much
as possible for communication. Excellent customer service is required of this employee; they will
be speaking on the phone with customers regarding orders, as well as fielding questions or
complaints. Employees must be able to stand for multiple hours, be able to lift 50 pounds, be
organized, proficient at math, and move efficiently and quickly.
SCHEDULING
The Catering Assistant is expected to work the shifts they are scheduled. In case of an
anticipated absence, the employee must fill out the vacation request form, and must work with
the Catering Head to get her scheduled shift covered. In case of a sudden illness, the employee
must immediately contact the Catering Head. In ALL cases, COMMUNICATION is a top priority.
PRODUCT HANDLING
At Gracious, our goal is to put forth well executed product and catering packages every single
day. Catering assistant will help in maintaining food quality, excellent presentation and portion
control. Reading invoices, matching correct product to orders, and helping the delivery
department to this end are a part of this job.
CLEANING/CLEANLINESS
The Catering Assistant is expected to set the standard for cleanliness: cleaning after tasks and
wiping down tables/ sweeping designated areas at the end of their shift. Employee is
representing Gracious, and must maintain an orderly appearance when delivering products to
customers.
CONDUCT
The Catering Assistant is expected to be positive, proactive, communicative, and
solution-oriented. This employee will treat all colleagues and customers with courtesy and
respect. Gracious Bakery does not tolerate harassment or bullying in any form.
The duties and responsibilities of the Catering Assistant include the following:
● Processing invoices and orders for the week.
● Communicating effectively and efficiently with the catering manager, pastry
manager, delivery drivers, bread team, savory department, and retail stores.
● Cleaning, peeling, and cutting fresh fruits.
● Weighing spices and following a recipe to make Chai concentrate from scratch.
● Steeping cold brew coffee
● Weighing bowls of fruit using a scale.
● Filling milk bottles, weighing cream cheeses, and other condiments to go along
with orders.
● Store runs (Costco, Restaurant Depot, Rouses)
● Handling and execution of orders the day of delivery.
● Promptly delivering multiple orders at a time.
● Following the catering manager’s directions, preparing next day deliveries. (EX:
Prepping bags of paper goods and refrigerated condiments to go with orders)
● Taking accurate inventory of food and catering supplies, and buying additional
supplies as needed.
● Unloading into and off food, and paper goods that are loaded in catering
vehicles.
● Responding to all catering concerns and being solution oriented in customer
service situations.
● Assisting with all customer billing-related tasks.
SCHEDULING:
● Set hours are mornings, but flexible and can be discussed
● You may be asked to work outside these hours depending on business needs. The
Catering Assistant is expected to work the shifts they are scheduled. In case of an
