The OpportunityThe position of Department Coordinator provides, with little supervision, provides administrative support to ensure efficient operation of the office, supports managers and employees through a variety of tasks related to organization and communication, are responsible for confidential and time sensitive material, and are familiar with administrative concepts, practices, and procedures.RESPONSIBILITIES:

Organize and schedule appointments and meetings

Maintain contact lists

Purchasing responsibilities – create requisitions for purchase orders (one time purchases and also blanket Pos for vendors), tracking of purchase orders, communications with vendors pertaining to purchase orders and invoices

Invoicing Reconciliation

Produce and distribute correspondence memos, letters, faxes, and forms

Carry out administrative duties such as filing, typing, copying, binding, scanning, etc .

Perform editing and formatting services

Provide transcription services

Prepare or generate regularly scheduled reports

Prepare and monitor invoices

Submit and reconcile expense reports

take and produce meeting notes

Research and create presentations

Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing

and expediting orders for supplies; verifying receipt of supplies

Maintain computer and manual filing systems

Handle sensitive information in a confidential manner

Develop and update administrative systems to make them more efficient

Resolve administrative problems'

Review department records for accuracy and note any corrections needed

Photocopy and print documents on behalf of other colleagues

Implement clerical duties and administrative processes

Conduct data entry

Coordinate meetings and associated requirements

Perform other duties as assigned

BASIC QUALIFICATIONS I EDUCATION:

High school diploma or equivalent; college degree preferred

5+ years of similar work experience

MS Office

Experience with Coupa and Esker

PREFERRED QUALIFICATIONS:

Prior experience in the regulated manufacturing environment (FDA, USDA, etc.)

The base pay for this position is $19.60 – $39.20 per hour.
