Position Summary:
Film Festival is seeking a dedicated and organized Membership & Development Coordinator to support the growth and engagement of our membership and donor base. This seasonal role runs from December through March on a part-time, ramping up to full-time in the week of the film festival (which could expand into a full-time, part-time role) and is essential in maintaining relationships with film society members, individual donors, and sponsors while assisting in fundraising efforts to ensure the continued success of the festival and its year-round programming. The ideal candidate will have a passion for film and cultural arts, and experience working in nonprofit environments.
Key Responsibilities:
Membership & Development:
Administrative Assistance: As needed
. Manage AFS Membership Database: Oversee member records, including data entry for new members, renewals, donor relations, and communications, and act as an intermediary if needed on issues related to ticketing and benefits.
Grant Assistance to Enhance Funding Resources: Maintain and use a membership and donor prospect database to identify potential grant & funding opportunities, and assist with grant writing, reporting, and other opportunities for support.
Data Integration: Coordinate data collection from various platforms (e.g., G-Suite, email marketing tools, Donor CRM software) to create targeted lists and customer profiles for optimized outreach and work with the marketing team on messaging regularly.
Increase Membership & Donor Base: Develop and implement strategies to grow membership and donor revenue through email, direct mail, social media, and personal meetings.
Upsell Contributions: Encourage existing film society members and previous donors to increase their giving levels and contributions.
Collaborate on Donor Development: Work with the Festival Directors (FD) on meetings, presentations, and strategies for soliciting prospective donors for operational and endowment funding.
Sponsorship & Advertising: Work with the FD to secure sponsorships and advertising opportunities from corporate, small business, and individual prospects.
Event Planning: Suggest, develop, and organize member and donor appreciation events, including annual fundraising activities, special screenings, and receptions. Manage invitation and RSVP lists.
Community Engagement: Act as a community liaison, promoting films, showcases, and special events and activities that support the Film Festival and Film Society’s mission.
Donor Contact & Maintenance: Support the FD by executing donor Thank You and Tax letters for both cash and in-kind donations.
Donor & Sponsor Recognition: Track on a spreadsheet all names, with correct spellings and logos for inclusion in print programs, the web, and on social media. Contribute ideas for campaigns for spring and autumn fundraising efforts.
System Improvements: Recommend improvements for online donor/member systems to enhance the user experience and streamline operations.
Program Outreach:
Marketing/Outreach Strategy: Collaborate with the FD and social media and marketing coordinator on planning and executing marketing campaigns for specific films, events, and the annual festival through a variety of customer engagement methods. Create specific lists of potential audiences and copromotional partnerships that may communicate to their following about our themed and subject-specific showcases such as; Black Experience, Education Day, Sailing Showcase, Environmental Showcase, Latin Experience, and Jewish Experience.
Outreach Communications: Assist with audience communication initiatives for the Film Society and its programs, festivals, and special events via email, phone, and press releases sent to aligned constituencies.
Operational Support:
Daily Operations: Provide assistance in daily operations, including answering development emails, supporting box office messaging regarding benefits (passes/tickets) for various levels of giving/sponsorship, and other related duties as assigned, as part of the small, dynamic team that runs the theater.
Tracking: Track all incoming revenue from sources such as checks, PayPal, and Memberships through Eventive. Report on all donations and category totals (grants, trusts, foundations, individual donors corporate sponsors) for monthly board meetings.
Code Revenue for QB: Will provide correct revenue codes for each donation for accounting so that the contributions show up properly in Quickbooks.
Qualifications:
College or post-college degree in film, liberal arts, or a related field.
Prior experience working with a nonprofit in the film or cultural arts sector is highly preferred.
Ability to work with the general public, particularly older adults; strong interpersonal and communication skills.
Comfortable speaking on the phone or in front of groups and handling multi-tasking in a fast-paced environment.
Proficiency in MS Office Suite (Excel, Word, PowerPoint), G-Suite, and Adobe Suite is helpful, but not necessary. Willingness to learn some database basics.
Some availability to work nights and weekends, as this position involves supporting operations and events during the festival and screenings.
