Executive Assistant to the CEO

Description We are seeking Executive Assistant to provide comprehensive support to our CEO for our clients in the financial services industry. This role involves heavy calendar management, a proactive, organized, and detail-oriented professional who can manage a wide range of administrative and executive tasks. The ideal candidate will be adept at multitasking, handling confidential information with discretion, and demonstrating exceptional communication skills.Key Responsibilities:Executive Support: Manage and prioritize the CEO’s calendar, schedule meetings, and coordinate travel arrangements. Ensure that the CEO’s time is optimized and that they are prepared for all engagements.Communication Management: Serve as the primary point of contact between the CEO and internal/external stakeholders. Handle all correspondence, including emails, phone calls, and written communication, with professionalism and confidentiality.Meeting Coordination: Organize and prepare materials for meetings, including agendas, reports, and presentations. Attend meetings as required, taking detailed minutes and following up on action items.Project Assistance: Assist with special projects and initiatives as directed by the CEO. This may include research, data analysis, and liaising with other departments to ensure project milestones are met.Office Management: Oversee office operations and provide support to ensure a smooth workflow. This includes managing office supplies, coordinating with vendors, and maintaining office organization.Confidentiality: Handle sensitive and confidential information with the highest level of discretion and integrity.Requirements Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.Experience: Minimum of 5 years of executive support experience, preferably in a fast-paced corporate environment. Experience supporting C-level executives is highly desirable.Skills: Exceptional organizational and time-management skills with the ability to prioritize and manage multiple tasks. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.Communication: Outstanding verbal and written communication skills.
