In this key role, you will play a pivotal part in delivering a positive experience to every client, visitor, and caller while helping to maintain seamless operations in a dynamic office environment.As the Receptionist, you’ll be at the heart of the action, ensuring everything runs smoothly, and providing top-notch customer service to clients navigating the busy tax season. Client and Visitor Reception: Greet clients, visitors, and vendors with professionalism and courtesy, ensuring a welcoming environment for all.
Phone Management: Answer incoming calls, direct inquiries to the appropriate staff, take messages, and handle scheduling requests related to tax appointments.
Appointment Scheduling: Assist with scheduling client consultations, tax preparation meetings, and follow-up appointments, coordinating with tax professionals to ensure a smooth flow of appointments.
Client Documentation Handling: Assist clients with check-in procedures, including the collection of necessary tax documents and confirming appointments.
Customer Service: Provide exceptional service to clients in person and over the phone, addressing general questions regarding tax services, documentation needs, and office policies.
Office Organization: Maintain a neat and orderly reception area, ensuring all client-facing materials, brochures, and forms are up-to-date and easily accessible.
Coordination with Internal Teams: Work closely with tax professionals and administrative staff to ensure that clients are assisted promptly and accurately during their visit.
Mail and Package Handling: Receive and distribute incoming mail, packages, and deliveries, ensuring timely and accurate processing.
Tax Season Workflow Support: Assist with administrative tasks as needed to support the smooth operation of tax season activities, such as document filing, managing appointments, and organizing client files.
Client Records Management: Maintain accurate client information, ensure confidentiality, and assist with the organization of tax-related documentation.
Compliance and Confidentiality: Uphold industry standards for confidentiality and compliance when handling sensitive client information, in line with tax regulations.
Requirements
Previous receptionist or front desk experience, ideally in a CPA or professional services firm.
Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
Strong customer service skills with a friendly and approachable demeanor.
Experience managing multi-line phone systems and scheduling software.
Detail-oriented with the ability to handle multiple tasks simultaneously while maintaining accuracy.
Proficient in MS Office Suite (Excel, Word, Outlook) and the ability to learn new software quickly.
Ability to maintain a high level of professionalism and confidentiality when handling sensitive client information.
Ability to work efficiently in a fast-paced, deadline-driven environment, especially during tax season.
