We are looking for an entry-level legal assistant to organize and coordinate administrative duties and office procedures with the Office Manager, Attorney, and paralegals. Experience in Family Law, Estate Planning, and probate is a plus. Your role is to create and maintain a pleasant work and client environment, ensuring high levels of organizational effectiveness, communication, and safety. Duties and responsibilities include client intake, scheduling meetings and appointments, drafting legal documents, making office supplies arrangements, greeting visitors and providing general administrative support to lawyers and staff. You should have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to handle administrative duties accurately. Ultimately, you should be able to ensure the office's smooth running and help improve company procedures and day-to-day operations. Experience with Microsoft Office, Clio, SASI-Calc, and Apple OS and IOS is a big plus.
Responsibilities
Schedule client intake, meetings, and appointments
Organize the office layout and order stationery and equipment
Maintain the office supplies and organization
Partner with Office Manager to update and maintain office policies as necessary
Organize and implement office operations and procedures
Coordinate with IT department on all office equipment
Ensure that all items are invoiced and paid on time
Manage contract and price negotiations with office vendors, service providers and office lease
Manage office General and Administrative budget, ensure accurate and timely reporting
Provide general support to clients
Assist in the onboarding process for new hires and new clients
Address employee's queries regarding office management issues (e.g., stationery, hardware, and travel arrangements)
Liaise with facility management vendors, including cleaning, catering, and security services
Plan in-house or off-site activities, like parties, celebrations, and conferences
Skills
Proven experience as a Legal Assistant
Knowledge of office responsibilities, systems, and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Hands-on experience with office machines (e.g., fax machines and printers)
Familiarity with email scheduling tools
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with the ability to suggest improvements
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
The Collaborative Law Group is a small law firm with one lawyer and two paralegals searching for a legal assistant to fill a newly opened position. Candidates will be more heavily considered with experience with the following:

Creating pleadings, marital settlement agreements, wills, POAs, advanced directives, trusts, etc.
Macintosh/Apple computers and iPhones, iPads, and Apple watches.
Calculating financial data for family law property and support matters.
Experience with Microsoft Outlook, Word, and Excel
Experience with Adobe
Candidate must have a strong computer technology background and be comfortable troubleshooting common IT problems.
Experience with Clio Case Management software and Mac computers is a plus.
The candidate must be able to work closely with the firm's lead lawyer and administrative staff.
