Responsibilities:
Proactively manage leadership calendars with strong attention to accuracy, detail, and allocation of time to promote productivity and anticipate the need to re-prioritize as appropriate.
Provide support on budget and expensing
Understand business priorities and identify process improvements to create efficiency and scale for the leaders and teams
Identify operational weaknesses and help refine processes or develop new ones
Anticipate current and future needs while creating detailed action plans to get ahead of them
Provide support on presentations and department-wide programming such as all hands meetings and planning sessions
Manage logistics and project manage trainings, events, off sites, and more
Collaborate with other members of the administration and support workers to provide seamless support
Responsible for assisting and co-facilitation of 60 hours of on-site training of all new direct care staff (Rehabilitation Coordinators/RC’s) required by COMAR regulations and CARF conformance standards.
Responsible for assisting / co-facilitating orientation of all new hires to the COMAR, CARF and company policies/ procedures related to service delivery and documentation.
Collaborate with internal and external treatment team providers and maintain a multi-systemic approach to ensuring the dissemination of quality care of each individual being served.
Identify and facilitate enrollment of all eligible clients into the Outpatient and Substance Use programs, via ongoing collaboration with the agency intake clinician, clinical supervisor and psychiatrist. Assist the Program Director in identifying and marketing to relevant referral sources that could benefit from PRP and all other agency services provided.
Maintain accurate and current information on all client databases and EHR.
Effectively respond to client emergencies and/or urgent needs.
Maintain consistent and open communication with the Program Director/CEO on all relevant and pertinent clinical and administrative issues related to the program.
Requirements:
Have 2+ years of administrative assistant, executive assistant, or similar experience managing and supporting multiple senior leaders and large teams
Possess expert knowledge of Office365, Google Suite Apps (Google Docs, Google Sheets, Google Slides, Gmail), etc.
Have excellent organizational and prioritization skills with high attention to detail
Strong verbal and written communication ability.
Ability to adapt and think quickly to changing priorities, to balance multiple issues and projects in a fast-paced environment.
Have discretion and sensitivity toward confidential information
Are committed to support work and the flexible nature of it all

All background checks, verification of credentials and fitness for duty have time frames for completion and required frequency.
