Administrative Assistant/ Receptionist
We are a Contractor specialized in Mechanical, HVAC and Plumbing Insulation Services that works throughout the Baltimore /Washington Metropolitan area. We are seeking an Administrative Assistant/ Receptionist to help with the organization and running of the daily administrative operations of the company. The ideal candidate will have some construction administration experience, be self-motivated, hardworking, reliable, able to multi task in a fast pace environment and able to work independently and efficiently.
Responsibilities
Bid coordination:
Act as the point of contact between estimating & Mechanical contractors
Download and save Plans & Specs that are provided through email, Dropbox or Bid websites
Update bid list
Draft and Send bid proposals and revised quotes to Mechanical Contractors
Maintain electronic and hard copy of Quote files & plans
Follow up on submitted proposals and relay all information to the estimating team.
General administrative duties:
Perform receptionist duties - Answer and direct phone calls
Communicate professionally and informally over the phone, in person, and in writing with customers and vendors
Maintain files, office supplies and office equipment.
Organize office and assist executive and senior administrative assistant in ways that optimize procedures
Create, update records ensuring accuracy and validity of information, and generate reports using Excel
Requirements
Comfortable with technology - General computer and keyboarding. Extreme proficiency with Windows, Microsoft Word, Excel and e-mail.
Strong organizational skills and time management with the ability to multi-task
Attention to detail and problem solving skills
Excellent written and verbal communication skills
. Bilingual English / Spanish will be a plus.
1 -2 years experience in construction administration (preferred)
High School degree; Associate degree (preferred); Additional qualification as an Administrative assistant will be a plus.
