Job description: Seeking experienced, licensed real estate agent looking for non-sales administrative position and to join a growing and energetic real estate team. Responsibilities include taking Sellers from the point of a signed listing agreement to a successful closing and managing a direct mail marketing system. Must be good at building relationships and handling people.
The ideal candidate is friendly, professional, knows how to close deals, and ensures client satisfaction. They are also highly organized, detail-oriented, and able to follow systems as well as have strong telephone skills, view themselves as a team player and are calm under pressure.
Outline of Duties:
Direct Mail Marketing System Coordinator: We mail out 2,000+ personalized letters a month using a team of five mailing people. Your responsibility is to keep the mailing system on track. You will receive prepared mailings lists and marketing pieces from our admin and your job is to 1) organize, print and prepare the mailing batches 2) coordinate pick up and drop off of the mailing batches to our mailing team 3) deliver mailings to the post office 4) track inventory and re-order material 5) run adds for a new mailing people as necessary
Listing Coordination: Preparing property CMA’s in preparation for team lead’s listing appointments, drafting and proof reading listing agreements, welcome calls to new clients, coordinate photos and lockbox/signage installation, walking the property to get MLS info, writing the MLS remarks, proof reading & publishing listings on the MLS
Active Listings: Listed as admin/co listing agent in MLS, respond to Buyer inquires, respond to incoming calls and emails from Buyers Agents, reach out to Buyer Agents for feedback, make customer service call to our clients, meet unrepresented, ready now Buyers for showings of our listings, hold an occasional open house for specific in demand properties, ongoing market analysis and recommendations to clients to get properties sold.
Closing Coordination: Review contracts for accuracy, present offers to clients, negotiate terms and send contracts out for correction and acceptance. Manage the closing process using our CRM to following up with our clients, title, lender, Buyer’s agent and other industry partners. Making sure gifts are sent out, signs are ordered down and lockboxes are removed and we get a 5 star review and referral business.
Lead/Client Follow Up. Phone call follow up to incoming Buyer and Seller Leads, scheduled follow up to future Seller Leads & calls to client database matches for our upcoming listings. Enter leads and notes in our CRM.
Office Admin: Prepare and mail out or occasionally hand deliver our Seller Pre-Listing Appointment Packets. Keep inventory and order office supplies. Open Mail, Scan files and keep office organized. Willingness to be a team player and help where needed. Personal errands to support team efficiency.
Business Projects: Work with team leader to create and implement new marketing and business building systems.
Pay/Hours:
Salary + Bonus.
40-50 hours a week.
9-5pm with occasional Weekend Hours (typically 1-4 hours)
Must respond to emails/calls when necessary on weekends or evenings
Required Skills/Technology: Preferred 5+ Years Experienced as Licensed Real Estate Agent. Must be a skilled agent that can guide Buyers and Sellers and whose work background and abilities inspire confidence in our clients.
Systems we use: Mac Operating Systems, Brights MLS, Skyslope, Docusign, Digisign, TopProducer, Manifestly, One Drive, ChatGPT, Zoom, Slack, Manifestly Checklists, Cubicasa. Must be able to learn new website and apps.
For Direct Mail System: must be proficient in Microsoft Word and Excel, Mail Merge and be able to scan, print and handle basic trouble shooting issues independently. Must have no qualms about making phone calls and be pro-active when emails and texts are not getting the job done.
Training: Specific training will be available for all tasks.
