Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with special attention to detail, being organized, and multi-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant II, your day-to-day responsibilities will include:
Candidate must become familiar with multiple Sponsor networks
Candidate will be trained on unfamiliar Sponsor systems such as travel and request systems
Candidate should have intermediate knowledge of Microsoft Office (Excel, Word, Outlook)
Candidate will manage workload for assigned Area(s) of Responsibility (AOR) as one end-to-end TDY process; maintain appointments with travelers
Monitor systems and databases used daily for travel messages, changes, cancellations, etc. for all systems use
Candidate will actively track traveler's processing status via an internal database; draft/send electronic communications
Arrange meetings with travelers to take photos needed for official travel documents and sign applicable documentation for processing
Candidate will schedule appointments with travelers for various TDY processing, i.e. passports, visas, travel reservations, scheduling training, checking out travelers, etc
Candidate will also verify all travel coordination has been completed and work with Divisions for additional information/requirements for travel
Actively interact with Division management, Operational Support Officers, and other Mission Support Offices to make the processing as transparent as possible to the customer and meet the mission timeline
Candidate will manage workload for assigned Area(s) of Responsibility (AOR) as one end-to-end TDY process; maintain appointments with travelers
Monitor systems and databases used daily for travel messages, changes, cancellations, etc. for all systems used
Candidate will actively track traveler's processing status via an internal database
Arrange meetings with travelers to take photos needed for official travel documents and sign applicable documentation for processing
Complete authorization letters, passport applications and visa applications applicable to travel requirements for each TDY
Candidate will prepare and track travel worksheets for approval; Travel Approval Requests (TARs); reservations/ticketing through to TDY checkout
Coordinate with colleagues as appropriate to process a traveler within the required timeline
Prepare TDY travel packages for travelers such as meet/greet instructions, itinerary, travel orders, travel documents, informational telephone card, and travel itineraries/e-ticket as applicable
Candidate will interact positively with customers providing updated communication on travel status, timelines, issues, and resolutions
Provide guidance to employees regarding applicable regulations, policies, navigating the process and systems
Respond to customer inquiries, both oral and written, thoroughly addressing all matters clearly and concisely while adhering to regulations and policies
Candidate will participate in process improvements in order to move the Division forward efficiently and effectively
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active Top Secret/SCI with Polygraph clearance
HS Diploma and 2 years of relevant experience or equivalent combination of education and experience
Office hours are 7am-5pm and schedule is flexible within this time frame
Proficient Word, Excel, Outlook, PowerPoint
The position is on customer site
