This role supports the Chief Procurement Officer and management team.Essential Functions
Plans, organizes, and coordinates various projects, programs and services involving diverse administrative operations
Administers or manages specific projects, programs and/or services, as designated
Conducts research and analytical studies on a variety of programs and issues
Performs detailed fact gathering, data compilation, and report writing on budgets, organizations, workforce management, operations, and administrative systems
Conducts analysis to improve process efficiencies and workflow, simplify procedures, and implement cost reductions
Drafts and prepares content to publish on the procurement intranet and WSSC Water internet pages
Manages and coordinates on-boarding and off-boarding of procurement staff
Coordinates training schedules for procurement-led training initiatives
Analyzes operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel requirements, and performance standards to create new systems or revise established procedures
Prepares and presents verbal and written reports including conclusions and recommendations for solution of process and administrative and problems or procedures
Manages the data gathering and reporting for upcoming contract actions that require the Commissioners review and approval
Coordinates data gathering and reporting of key operational metrics to the chief procurement officer
Answers questions related to vendor registration in the supplier portal and assists in registering vendors in the supplier portal
Prepares, monitors and controls annual budget submissions and provides up-to-date status reports on expenditures, projects and related items
Issues and interprets internal operating policies
Represents procurement at meetings, as requested
Reviews memoranda, reports and similar material for the purpose of summarizing and making recommendations concerning same
Assists with prioritizing and supporting administrative work across the department
Coordinates the schedules of several division leaders, professionals, and staff, and arranges for meetings with outside stakeholders

Ability to plan, assign and supervise the work of others

Minimum Education, Experience Requirements
Bachelor’s degree
3+ years of project coordination and/or team lead responsible experience in the field of public administration, business/economics, communications, or related field
OR
High school diploma or equivalent
7+ years of project coordination and/or team lead responsible experience in the field of public administration, business/economics, communications, or related field
