Duties
Reports directly to the Administrative Assistant/ Manager
Organize and schedule appointments
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Maintain contact lists
Act as the point of contact for internal and external clients
Liaison with executive board members
Assisting with all aspects of administrative management, directory maintenance, logistics, equipment inventory and storage
Manage inventory of assets and supplies, sourcing for supplies (vendors) and invoices
Coordinating between departments and operating units in resolving day-to-day administrative and operational
problems and issues
Helping with Scheduling and coordinating events and other similar activities
Preparing business correspondence, typically using Microsoft Office Suite (Word, Excel, PowerPoint, Access,
Outlook)
Proficient in Microsoft Publisher
Entering data using the 10-key pad
Sending faxes and emails
Managing documents and files
Addressing resident concerns
Providing multifaceted general office support
Assisting with the daily operation of the facility
Operating a range of office machines such as photocopiers and computers
Managing the master resident listing
Being involved in monthly activities/Events with residents
Greeting guests and visitors
Develop interpersonal relationships with residents
Perform other duties as assigned
