COMPANY BACKGROUND

Suber & Company (SCO) is emerging as the lead provider of flexible office solutions in Southern Maryland. Through our primary location in Waldorf, MD, we provide executive suites, virtual offices, co-working space and virtual administrative support to over 300, primarily small and minority-owned, businesses (members). Over the last 10 years, the company has grown from a two-person team with 1500 sq. ft. to a 5-person team with 8,300 sq. ft. We are excited about our current growth plans and are seeking a like-minded teammate that is passionate about supporting small businesses.

POSITION DESCRIPTION

Suber & Company is a Fair Chance Employer seeking a motivated candidate to join our team to provide administrative support for SCO’s management consulting, virtual offices and property management services. While minimal experience is required, a candidate that can demonstrate a strong ability and desire to grow into this position is strongly desired. This a developmental role in which the selected candidate will be trained on performing the primary responsibilities. Additionally, this is a part-time (up to 20 hours a week) position with the potential to become full-time. Immediate availability desired.

PRIMARY RESPONSIBILITIES

Our team is a small one that provides big service. We are looking for a new teammate that will ultimately be supporting Front Desk Reception under the direction of the Operations Manager. In this role, the Administrative Assistant will do the following tasks:

Front Desk Management Support: Support the front desk operations at the Waldorf location. Maintain online reservation calendar. Coordinate office visits and services via emails or direct calls from clients. Ensure meeting rooms and private offices are set up appropriately for each reservation. Manage mail services for clients including: mail sorting, mail filing, email notification and distribution of mail to direct SCO clients and Partner clients. Prepare and maintain front desk standard operating procedures.

Community Management: Become familiar with flexible office services and serve as a key contact for SCO clients. Respond to inquiries about our office services and schedule office tours. Work with Billing Coordinator and IT Manager to set up new accounts as well as troubleshoot account issues. Provide planning assistance for networking events, holiday events, training/brown bag lunch sessions (webinars), and virtual conferences. Maintain internal communications with clients via online SCO app, social media, newsletter or email distros. Maintain welcome packets, office tour packets and exhibit/vendor materials. Occasionally participate at exhibit booths for related conferences and events.

Other administrative duties as needed.

SKILLS REQUIRED

Basic computer skills and basic familiarity with Google OR MS Office applications.

Demonstrated customer service skills.

Strong desire to learn and grow as an administrative professional.

Bi-Lingual (English and Spanish) is a plus, but not required.

SALARY/WAGE:

Compensation is based on experience.

JOB TYPE: Part-time

PAY: $15.00 - $20.00 per hour
