Our client, an investment firm based in Boston, is seeking a new Executive Assistant to join their team! This role is onsite in Boston, full time hours Monday through Friday, paying up to $40/hour pending experience. Interested and qualified candidates are encouraged to apply today!Primary Duties and ResponsibilitiesProvide administrative support to investment professionals, including personal work as needed.Manage complex calendars and ensure no scheduling conflicts.Schedule and coordinate logistics for meetings, including conference room booking, dial-in confirmations, A/V needs, material and presentation preparation and catering.Arrange complex travel (domestic and international) and prepare itineraries and expense reports.Coordinate executive communications, including taking phone calls, responding to emails, and interacting with and building strong relationships with external contacts.Gather and enter information into the Firm's relationship database.Utilize various databases to conduct research as needed.Assist with company events as needed.Work seamlessly with colleagues internally, including fellow Executive Assistants, Reception and Facilities teams.Provide back-up coverage for other Executive Assistants or functional areas as needed.Operate all Firm equipment including computers, telephones, copiers, scanners, printers, fax machines and audio/visual equipment.Perform other duties as assigned to support the business functions of the Firm.Skills and Experience3+ years of administrative experience. Private Equity or Financial Services experience is a plus Proficient in Microsoft Office (Outlook, Excel, Word and PowerPoint) and Salesforce/ CRM experience and ability to learn other software utilized by the firm. Strong organizational and administrative skills.Ability to work independently and demonstrate proactivity.Ability to prioritize and perform multiple tasks seamlessly with strong attention to detail.Demonstrate resourcefulness, good judgment, and strong problem-solving skills.Excellent communication skills, both written and verbal.Outstanding interpersonal skills and high emotional intelligence.Ability to maintain a strict degree of confidentiality with all company matters.
