The Windsor Club is seeking a part time Office Manager in Waban (Newton), MA to run the day-to-day operations and administrative functions of the club.

About the Club

The Windsor Club is a 100 year-old social club for Waban residents with 400 + family memberships. The facility consists of a clubhouse, activity center, swimming pool, and four clay tennis courts which is used by members, and rented to non-members. 13 volunteer board members provide general oversight and serve 2 year terms.

Organization and Reporting Structure

The Office Manger reports to the Club executive board (President, Vice President and Treasurer) and also provides support to general Board Members as requested. The Office Manager serves as the primary liaison to club membership and the broader Waban community. The Office Manager works closely with the facility Rentals Manager.

Hours

The position is part time, approximately 20 hours per week. Three days in-person required with occasional paid overtime, as needed.

Job Responsibilities

Billing and Collections

Following guidelines set by the Treasurer, implement billing and collection of membership dues, social event fees and facility rentals.

Manage outsourced bill payment, oversee check preparation, and ensure all necessary paperwork is submitted for payroll, vendor invoices, and other expenses. Manage bank deposits.

Maintenance and Upkeep

Responsible for maintaining facilities by monitoring vendor performance, inspecting facilities after events, and recommending maintenance and/or upgrades. Meet with vendors to help secure bids/estimates, and often required to be onsite while work conducted.

Required Skills and Qualifications

Highly organized self-starter comfortable multi-tasking and prioritizing responsibilities. Strong ability to work independently, and motivated to trouble-shoot

Open and positive outlook to represent the Club

Professional communication, written and verbal, and strong interpersonal skills

Familiarity with either Microsoft office and or Google docs .

Comfortable using online software tools for maintaining membership information, invoicing and vendor payment, et al. Ability and interest to learn and embrace new software.

Basic understanding of QuickBooks or similar accounting platform a plus.

Previous work experience demonstrating required skills listed.
