Now hiring a highly organized administrator/office manager to help manage our company's charter transportation services. The ideal candidate will be competent in prioritizing and working with little supervision, self-motivated and trustworthy. The office administrator/manager will ensure smooth running of our company’s office and contributes in driving sustainable growth.
To ensure success as a transport administrator, you should exhibit extensive knowledge of transportation service operations and administrative experience in a similar industry. An accomplished transport administrator will be someone whose expertise results in cost-effective and efficient transportation services
Responsibilities (to include and not limited to)
Correspond with clients via telephone and email
Give quotes by phone or email
Driver Qualification file maintenance
Interact/train drivers
Complying to transportation regulations and company policies.
Coordinate activities and operations to secure efficiency and compliance to company policies
General administrative tasks such as bookkeeping, invoicing
Support budgeting and bookkeeping procedures. Managing budgets, as well as processing purchase orders and payments.
Create and update records and databases with personnel, financial and other data
Other Transport Administrator Responsibilities:
Scheduling transportation services, planning routes, and assigning drivers. Preparing schedules, as well as tracking and reporting progress with orders.
Developing and implementing improved transportation administration policies and procedures.
Monitoring drivers' logbook entries and performing payroll administration.
Liaising between managers and drivers, as well as collaborating with other departments to optimize transportation services.
Handling customer queries and escalating serious complaints to management.
Skills
Proven experience as an office administrator/manager, office assistant or relevant role
Outstanding communication and interpersonal abilities
Excellent organizational and leadership skills
Familiarity with office management procedures and basic accounting principles
Deep knowledge of Quickbooks. Two years of Quickbooks knowledge is a must.
Excellent knowledge of MS Office and office management software (ERP etc.)
High school diploma; BSc/BA in office administration or relevant field is preferred
Transport Administrator Requirements:
At least 2 years experience as a transportation administrator in a similar industry.
Knowledge of transportation industry regulations is a plus.
Superb time management and organizational skills.
Great problem-solving and analytical skills.
Compensation: $25.00 per hour with $2000 end of year bonus (performance based). Review after 3 months
