Office Assistant/Construction Project Scheduler

Power Construction Roofing & Siding Corp located in Natick, MA is accepting applications for a full-time Office Assistant/Project Scheduler. Power Construction is a top-rated contractor that specialists in residential and commercial exterior improvements. The ideal candidate will be available Monday – Friday from 8:30am-3:30pm and Saturdays from 9:30am-2:30pm. (40 hours per week). This candidate should be professional, punctual, self-motivated, friendly and organized. This candidate will receive full training and will be evaluated after a 90-day probationary period.

Job Duties (included but not limited to):

-Work directly under the supervision of the Operations Manager.

-Handle incoming calls, emails and in person correspondences.

-Answer multiple phone lines with sometimes heavy call volume.

-Track, maintain and handle office billing (utilities companies, supply companies, etc)

-Maintain incoming and outgoing mail.

-Communicate through email with customers regarding project related inquiries.

-Promptly reply to customer’s inquiries.

-Promptly address and reply to the Sales Team/Project Supervisors inquiries and requests.

-Apply for building permits and constantly check permit status.

-Schedule daily/weekly projects for project crews with the assistance of the Operations Manager.

-Update pre and post project invoices into Quick Books and our CRM (billing/scheduling/project estimation system).

-Prepare profit & loss (P&L) statements after each project is complete.

-Register customers for manufacturer warranties.

-Help organize, clean and maintain office common areas on a weekly basis. (Vacuuming, disinfecting surfaces, office trash removal, etc.)

-Perform general office clerk duties and local errands.

-Screen calls for potential new customers.

-Schedule and confirm lead appointments.

-Chase project leads from lead generation services

Office Assistant/Project Scheduler Requirements:

-Must be 18 years or older and legal to work in the USA

-High school diploma and/or associate degree.

-In office work hours of 8:30am-3:30pm (Monday- Friday) and 9:30am-2:30pm (Saturday)

-Reliable daily transportation to commute to and from office, arrive on time, and work scheduled hours.

-Experience as a receptionist/scheduler and/or office assistant in a related field.

-Ability to write clearly and help with word processing when necessary.

-Warm personality with strong communication skills and confident work ethic.

-Ability to stary self-motivated under limited supervision and high stress environment.

-Profound knowledge of Quick Books, Scheduling and Microsoft Word/Excel.

-Experience working with lead generation services is a plus.
