Our client, a non-profit located in Boston, is seeking a temporary operations coordinator. This is a temp to perm position and can compensate up to $23/hr.ESSENTIAL RESPONSIBILITIES:Works with the Operations/Facilities Team to maintain schedules of all required maintenance, inspections, repairs, and certifications as required by state and governmental agencies and maintains records of certifications.Communicates with Security Manager regarding security guard/building hours. Updates website via ticketing system and health center signage regarding patient facing hours updates.Works with Information Technology support team regarding onsite technical needs, ticket follow-up, etc.Works in conjunction with Facilities on communication with vendors. Responsible for communicating vendor visits to security and key health center staff and accompanies vendors when present. Maintains all vendor records including service agreements and invoices.Oversees office and health center equipment maintenance and coordination of repairs or replacements if needed.Oversees cleanliness of the health center. Works with facilities to coordinate and monitor cleaning services and provide feedback.Checks and distributes mail and adds postage to meter monthly.Keeps Center Manager apprised of any facilities- or vendor-related impact on the budget. Participates in budgeting process annually.Works with the purchasing department to ensure the health center has adequate office and clinic supplies. Responsible for unboxing and storing supplies in an organized system and monitoring supply needs. Oversees returns for damages/incorrect items received as well as expired medication returns. Works with purchasing associate to relay backorders to the team and find alternative options.Maintains the health center's inventory system including determining what needs to be ordered, submitting order requests via Workplace, creating the purchase orders, receiving, storing, and expensing. Processes inventory transfers to other health centers as needed. Oversees the health center's lot number tracking system. Completes inventory counts monthly/yearly and maintains accuracy of organizational inventory system.Oversees the clinic snack budget and purchases.Responsible for timely processing of all invoices, bills, and receivables.Conducts monthly operational audits, including equipment and key logs; provides reports and recommends corrective actions to site management team.As needed, assists Site Manager or designee with reconciliation of weekly deposits and packaging funds for bank deposits.Provides technical assistance for conference room/meeting technology.With direction from the Center Manager, provides additional administrative support to the health center management team as needed.Participates in PPLM's efforts to achieve goals for productivity.QUALIFICATIONS1-3 years of related experience.High school diploma requiredBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
