Calendar Management: Coordinate complex team calendars, serving as a key liaison for scheduling meetings, interviews, and appointments. Perform a gatekeeper function by reviewing and prioritizing meeting requests and meeting agendas to ensure optimal use of executives' time.
Travel Coordination: Manage comprehensive travel arrangements including flights, hotels, and ground transportation, creating detailed itineraries and providing real-time support during travel.
Expense Management: Prepare and submit timely expense reports for leaders in thedepartment.
Meeting Coordination: Attend meetings to take minutes, track action items, and supportconference calls and video conferencing.
IT Support: Address basic IT issues, such as printer and computer problems, submitting tickets and following through with IT until resolution.
Communications:
Relationship Building: Cultivate strong working relationships across the organization through exceptional customer service skills.
Professional Communication: Maintain a professional and tactful demeanor in all interactions, facilitating effective communication through various channels including phone calls, emails, and memos.
Confidential Documentation: Prepare confidential correspondence, reports, presentations, and organizational charts using MS Word, PowerPoint, and Excel.
Internal Communications: Organize employee communications and coordinate video messages with the media team.
Planning and Organization:
Time Management: Assist the SVP and assigned VPs in managing their schedules effectively.
Event Coordination: Plan and execute meetings and events such as offsite leadership meetings and All Hands gatherings, including agenda preparation, resource coordination, and catering arrangements.
Flexibility: Be ready to support team events and special projects as required. Regular, consistent and punctual attendance is necessary. May be contacted and expected to respond in the evenings and weekends, as necessary to fulfill duties.
