Position SummaryThe City of Bozeman is now accepting applications for a Facilities Project Coordinator who will provide project coordination and management services on construction projects, renovations, and maintenance projects to include facilitating the coordination and preparation of design documents, specifications, estimates, budgets, and contracts between clients and contractors.This is a full-time opportunity with many benefits! Provides project coordination and management services on construction projects, renovations, and maintenance projects to include facilitating the coordination and preparation of design documents, specifications, estimates, and budgets between clients and contractors;

Manages project design and construction; administers contracts and budgets; administers consultant selection process; obtains required permits; reviews, comments on, and recommends project scope and budget decisions; generates memorandums; reviews and approves deliverables; tracks progress and budget; implements payment protocols;

Identifies project needs through the analysis of condition information, Master Plan recommendations; prioritizes projects based on Division objectives; assists in the development of the Facility Division Capital Improvement Plan (CIP);

Manages project budget as well as furniture, fixtures, and equipment (FFE);

Coordinates the bid/award activities for services; construction and design contracts and manages construction activities;

Coordinates the start-up of major utilities and equipment and the relocations of occupants as needed during projects;

Researches best practice methods related to high performance construction standards; integrates knowledge into Division protocols;

Collaborates with key stakeholders necessary for successful project completion; schedules and leads meetings; organizes notes and completes or assigns follow-up tasks;

Reviews drawings and specifications on equipment and materials;

Manages project completion tasks including collecting redline drawings and OEM manuals and file transfer from vendors and contractors;

Creates and supports specialized documents as required and needed to support advanced building systems;

Provides support to Facilities Superintendent and Strategic Services Director with items related to operating budgets and capital improvement project budgets;

Keeps immediate supervisor and others accurately informed concerning work progress, including present and potential work problems or suggestions for new or improved ways of addressing such problems;

Attends meetings, conferences, workshops and training sessions and reviews publications and audiovisual materials to become and remain current on the principles, practices, and new developments in assigned work areas;

Operates modern office machines and equipment, including personal computers, printers, copiers, phones, and calculators;

Uses a full range of word processing and data processing software applications;

Communicates and regularly coordinates with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities;

Responds to citizens’ questions and comments in a courteous and timely manner;

Provide support to facilities team as assigned;

Performs other duties consistent with the role and function of this classification.

Minimum Required Qualifications

Bachelor’s Degree in Engineering, Project Management, Construction Management, or related field; and

Three to five (3-5) years of experience in project management, including contract and budget administration;

Any combination of education, experience, training, or special qualifications that provides the equivalent scope of knowledge, skills and abilities necessary to perform the work.

Required Knowledge, Skills, and Abilities

Knowledge of standard project management principles project scheduling, estimating, and management;

Ability to read and interpret architectural and engineering designs and specifications, including maps, charts, and graphs

Ability to prepare and present accurate and reliable documents, contracts, and reports containing findings and recommendations;

Ability to identify problems of project scope, budget, schedule, plans, and specifications and determine necessary changes;

Ability to communicate effectively with clients, vendors, contractors, supervisor, and department heads both orally, and in writing, using both technical and non-technical language;

Ability to interpret and enforce compliance with plans, specifications, schedules and contract provisions;

Knowledge of or ability to quickly learn specialized architectural, engineering, site, construction, and building code functions;

Some knowledge of or ability to quickly learn the function of services within the public sector, preferably within a municipal government;

Some knowledge of or ability to quickly learn current practices and procedures involved in City service delivery;

Some knowledge of or ability to quickly learn the overall functions, duties and responsibilities of assigned Departments/divisions;

Some knowledge of modern office procedures, practices and equipment;

Some knowledge of modern office filing systems and procedures;

Some knowledge of good phone etiquette and practices;

Ability to deal with a wide range of persons, including situations in which individuals may be upset over some issue involved with City activities and policies;

Ability to communicate effectively with others, both orally and in writing, using both technical and non-technical language;

Ability to understand and follow oral and/or written policies, procedures, and instructions;

Ability to operate a personal computer using standard or customized software applications appropriate to assigned tasks;

Ability to use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions;

Ability to perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines;

Ability and willingness to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology;

Ingenuity and inventiveness and the use of the appropriate levels of discretion in the performance of assigned tasks;

Required Special Qualifications

Must possess a valid Driver’s License and obtain a Montana Driver’s License within 60 days of employment;

Offers for employment are conditional upon a satisfactory response to post conditional offer process;
