Contractor Office/Project Assistant Job Description:
The contractor office/project assistant performs specialized administrative functions of moderate difficulty and complexity within a contractor project office. Responsibilities are performed under moderate supervision. There is growth potential with expanded responsibilities for the right candidate.

Qualifications and Skills
Excellent communication skills and a strong team ethic
Strong computer skills including knowledge of MS Office applications are essential
Ability to interact professionally with the office, vendors, and field
Desire to learn glazing system
Strong sense of time management
Detail oriented
High sense of urgency, and a strong sense of time management
Highly organized and able to manage multiple tasks efficiently
The ability to work as a team player across all departments and companies
Strong interpersonal skills
Executive administrative experience or construction administration is a plus
Office Responsibilities and Duties
Answer the phone and provide initial contact for walk-in customers.
Provide general office support including coordinating calendars and schedules, preparing letters, and filing
Maintain and update various reference lists.
Maintain company training records
Performs other responsibilities as required or assigned
Project Responsibilities and Duties
Provide project coordination support to the principal and project managers as needed
Assist Project Managers with miscellaneous administrative support, such as filing, copying and scanning in documents.
Order construction plans and assist with bid forms and bid packages.
Prepare transmittals and submittals to clients and contractors Proofread, edit and distribute reports
Manage tax exempt certificates and letters for specific projects.
Order material samples
Track order confirmations and material delivery add to work schedules as needed
Create warranty letters and aid in gathering close out documents.
Log invoices for all jobs/projects along with a monthly Jobs to Be Billed report.
Maintain and update various reference lists.
Performs other responsibilities as required or assigned
