As a leader in children’s health, we engage in meaningful programs and partnerships throughout the region so that we can improve the lives of children beyond the walls of our hospital.OverviewThe Program Manager of Event Operations is the foundation of the Event Operations team and the hospital's ability to successfully and efficiently support meetings, events and conferences within the Children's Mercy Research Institute (CMRI) Conference Center. In addition to managing a portfolio of standard internal meetings and events, this position serves as the on-site point-of-contact within the Conference Center and provides logistical and technical support. Within the team, this position serves as the liaison with key stakeholders, maintains event records and communications, and provides logistical support for complex, large-scale conferences and events. The Program Manager of Event Operations works collaboratively across many departments and ensures appropriate space use and positive meeting-host experiences by being resourceful, technically adept, hands-on and delivering exceptional customer service.NOTE: This role will primarily work on-site at Children’s Mercy Research Institute (CMRI). Will require working outside of normal business hours (Monday – Friday, 8:00 a.m. – 5:00 p.m.), including days, evenings, and some weekends. Work will be flexed. Manage event logistics and provide on-site support for standard internal and external meetings and events in the CMRI Conference Center:

Responsible for the event planning and operations of events with internal and external standard meetings/events hosted at CMRI, including:

◦ responding to inquiries and event booking

◦ pre-event coordination with the event host and key stakeholders

◦ event execution including, but not limited to, inspection of event set-ups to ensure hosts needs have been met, along with tear-down completion that’s ready for next day meetings/events

◦ post-event reporting and wrap-up to evaluate event hosts and guest experiences and provide recommendations for continuous improvement

Assist Event Operations team with complex, large-scale conferences and events:

Provide pre-event coordination with key stakeholders (i.e. Catering, Environmental Services, Security & Transportation, etc.)

Provide on-site support to Event Operation lead for the duration of complex events/conferences which will require working outside of normal business hours (Monday – Friday, 8:00 a.m. – 5:00 p.m. ). On-site support includes, but is not limited to, directing load-in, inspecting set-up and making corrections if required, assisting with space resets as needed, directing traffic flow, directing load-out, conducting end-of-event safety checks

Flexible hours including days, evenings, and some weekends. Work will be flexed.

◦ Responsible for the primary lead for internal conferences/meetings. Typically, 1 – 2 weekend days a month, and 2-4 early morning/late evenings a month.

◦ Assist with event support for complex conferences/meetings. Typically, 1 a month.

Serve as the main point of contact on-site at CMRI to monitor conference center space and provide basic AV and facility support for daily meetings:

On-site at Children’s Mercy Research Institute (CMRI) for 3-4 days a week to be the main point of contact for the conference center including but not limited to:

◦ Monitor the space use of the CMRI conference center which includes 11 public conference rooms (range from 10-46 capacity), an Auditorium (370 capacity), Garden Level for receptions and luncheons (140 capacity) and a collaboration space.

◦ Be knowledgeable on the operation of all audio/visual equipment to provide in-conference room basic AV support

◦ Monitor room set-up requests, or changes, for unique one-off meeting requests

◦ Address EVS assistance, as needed

◦ Help enforce the appropriate use of the space which will require confident, respectful communication skills

◦ Interact in a professional manner when dealing with various internal and external guests, vendors, and staff

Serve as the primary liaison between Event Operations and key stakeholders for event execution:

Serve as team liaison for weekly communication with closely-associated teams or departments (Key Stakeholders include Multimedia Production, Catering, Environmental Services, Security & Transportation and Guest Services).

Monitor stakeholder huddles and share relevant information between their teams and Event Operations.

Ensure set-up and tear down requests are completed as requested for meetings/events.

Monitor and maintain event tracking and email communication for the Event Operations team.

Publish all meeting logistics to the team calendar and Master Event Log.

Monitor and respond to the team email.

Monitor and record submissions of the Event Inquiry Form and CMRI Tour Request Form and reservation requests for select Conference Center spaces.

In coordination with the Assistant Director of Event Operations, maintain current, accurate records of CMRI meeting room details (i.e. capacity, location, A/V, set-up capability, local contact person, etc.) within tracking system, and in relevant event/stakeholder files

Qualifications

Bachelor's Degree and 3-5 years' experience. Related experience includes roles related to customer service, hospitality and project/account management OR

High School diploma, or equivalent, and 7 or more years' experience. Related experience includes roles related to customer service, hospitality and project/account management

Valid driver's license, required upon hire

BLS Certification, preferred upon hire

Starting PayOur pay ranges are market competitive. The pay range for this job begins at $30.73/hr, but your offer will be determined based on your education and experience.Remote Work/Work from HomeThis is an intermittent remote position, which means that the person hired will work with his or her manager to determine a schedule that includes both at home and on-site hours at a Children’s Mercy location.
