Position SummaryThe School Operations Manager is the operational leader of the school.  They are a member of the school’s leadership team and are responsible for the school’s operational excellence. The operations team’s goal is to ensure the efficient running of the school so the rest of the team can spend their time and effort focused on academic and instructional excellence. The School Operations Manager will report to the School Principal or Principal's designee, and works closely with APs to turn vision into functional, concrete systems. They will attend weekly meetings with the entire operations team to ensure functions are running smoothly across all KIPP:KC schools. They will embrace innovation and continuous improvement, be willing to do the work on the ground with teachers and leaders, and relish the challenge of finding ways to work smarter.  KEY RESPONSIBILITIESReporting to the Principal or Principal Designee, your core responsibilities will include but are not limited to:School Operations & SystemsTurn principal vision for routines and procedures into efficient, written form including but not limited to:  arrival; Lunch arrival, meal distribution and dismissal; hallway transitions (flow of traffic/timing); locker routines; hallway pass systems; lunch, arrival, meal distribution and dismissal; dismissal, emergency drills. (The SOM works closely with TFRD and APs in this work, but leads the writing process)Collaborates with School Leadership on rolling out new procedures with staff (leads or helps lead training/PD related to routine rollout)Takes part in observing and giving in the moment feedback on key routines at direction of principal; Collects data on key routines at direction of principal for use in staff batch feedback and one on one coaching purposes.Ensures a written “minute by minute” or “show flow” of events (often lead writer); Owns coordination of vendors, facilities, & other key logistics of events such as field trips, family nights, family conferences, Parent Teacher Organization meetings, etc. (Works very closely w/ APs/Ps on vision and show flow; communicates needs around transportation and ordering w/ TFRD)Manages all parent communication specific to their assigned school via School messenger, Remind, and social media  (owns sending the communication)Manages Infinite Campus parent and student portalParticipates in key Infinite Campus updates and reporting such as well as input of behavioral data (suspensions/send homes) in SIS.Owns coordination of daily food service for their assigned school - Monitors food service delivery daily, recommends changes to vendor operations, communicates food counts, elevates service issues to the DSO Coordinates daily cleaning and maintenance needs with appropriate vendorsCommunicates directly with the TFRD about bus company, students, and staff any late busses or no-shows Kids in SeatsMaintains up to date student rosters and communications directly with Data Manager and EdOps about changes neededEmails daily attendance report to school teamsFollow up with teachers who have not taken attendance one hour after the start of the school day; Loops up chronic issues around taking attendance to teacher’s manager.Works with Front Office Coordinator to ensure accurate attendance corrections and tardies are reporting dailyCompletes necessary truancy action steps as defined by the attendance playbook Student SafetyAssist in communication with security partners about any daily schedule changes, arrival and dismissal plans, or emergency planningConduct emergency practice drills monthly, including each classroom having an emergency map and quick reference guideConduct facility walkthroughs at least quarterly including checks on safety of common spaces, hallways and classrooms; entrances and exits are fully secure at all timesEnsures field trips are conducted in accordance with KIPP's field trip policies/templates (staff ratios according to KIPP and vendor mandates, transportation, approved activities, etc.), or better. Financial Health & SustainabilitySubmit necessary staff timesheets to HoT Submit Order requests to the TFRDSubmit staff meal requests to the TFRDProvide feedback on vendor selection as needed. Facility MaintenanceFacility maintenance - manages daily requests and works with DSO on larger request itemsCommunicates emergency needs to the custodial team Printer/laminator maintenance for their schoolContacts GFI when needed and troubleshoots when ableCompletes regular walkthroughs documenting maintenance and safety issues Student Academics & SupportAssist with major assessment scheduling and retakesEnsure distribution of major testing suppliesImplements data reports with support from the Data Manager Audits gradebook weekly and prints weekly progress reports Technology and EquipmentAssigns and distributes technology to their assigned school's studentsEnsure student emails are set upContacts IT vendor for any set up or troubleshootingEnsures all classrooms have working projectors, computers, and other technology needsMakes request to TFRD for any new/replacement technology needs
