JOB DESCRIPTION FOR CHURCH ADMINISTRATIVE ASSISTANT –

Part-time position 25-30 hours per week (preferably, 9-3, Monday-Thursday) reporting directly to the Lead Pastor. $16 / hour. 2 weeks paid vacation. If interested and you meet the qualifications and skillsets required.

Qualifications:

A follower of Christ and growing in faith

Highest level of proficiency with Microsoft products (Word, Excel, PowerPoint, Publisher)

Ability to maintain confidentiality in all church related matters

Highly organized; detail- and solutions-oriented

Previous experience with software listed below

A positive and professional presence at all times

Responsibilities of IFUMC Administrative Assistant:

Answer the multi-line phone system.

Answer all general correspondence – traditional, electronic and telephone.

Handle internal communications.

Process incoming mail daily.

Maintain database of members, visitors, donations, pledges. Acknowledge all donations received. Provide reports as requested by Pastor, Leadership Team, or Committee Chairs.

Produce financial data about pledges/giving as requested by Pastor and/or Finance Officer.

Facilitate and maintain the church calendar in a paper form available to church members, in Google Calendar, and on the church website.

Assist church members and outside groups in scheduling use of the church facilities.

Assist in the printing, copying, and emailing of Board/Committee reports for Team meetings.

Order office supplies, kitchen, general use and maintenance items as needed / requested.

Maintain and update list of all vendors and contact information.

Schedule regular equipment maintenance with vendors. Request technical support as needed.

Assist Starshine Preschool with providing access to the building via intercom system.

Produce, print, and fold the Sunday bulletin weekly and other bulletins/inserts as requested.

Keep an updated Prayer Request List.

Assist the Finance Officer in the production of the Annual Report, including notification to all officers, boards, and committees to submit reports in a timely manner.

The Administrative Assistant is responsible only for keeping files up to date. No files or items in the permanent church records are to be disposed of without prior approval from the Finance Officer and SPPRC Chair.
