Date Posted:2024-12-19Country:United States of AmericaLocation:OTMOH: Missouri Home Office Remote Location, Remote City, MO, 06032 USAOtis Elevator Company is searching for a highly motivated Executive Assistant who is responsible for providing administrative support, partnering closely with the executive administrative team to efficiently manage the Executive’s schedule, priorities, and projects. This role requires exceptional organizational skills, attention to detail, and the ability to handle complex calendars, travel logistics, and high-level administrative tasks.Essential Responsibilities

Manage and maintain schedules, appointments and international/domestic travel arrangements for Senior VP, North America and VP, Delivery Operations and Transformation, as well as other members of their team, as needed

Prepare detailed meeting and travel itineraries, making adjustments based on changing priorities; submit and monitor completion of related expenses. 

Prepare and edit correspondence, communications, presentations, and other documents for Town Halls, annual planning meetings, leadership events, etc. 

Manage logistics, invitations, agendas and records as well as provide support for key leadership meetings, including but not limited to: Town Halls, Annual Planning, Talent Reviews, Business Reviews, etc.

Support meeting preparation and follow up, reviewing upcoming meetings to ensure materials are available and distributed in advance, and providing agendas or documents to meeting attendees, as necessary. 

Prepare communications and materials for the site leadership and consolidate reports and materials for leadership meetings, including senior business reviews.  

Provide support with scheduling onboarding activities for newly appointed leaders.

Interface with all levels of the organization and with external customers in a professional and effective manner 

Manage special projects and initiatives, as necessary.  Ability to work both independently and as a team, as needed based on project requirements.

Handle sensitive information with the utmost confidentiality and professionalism. 

EXPERIENCE / QUALIFICATIONS:   

5+ years in a corporate setting; administrative setting preferred

Highly organized with strong attention to detail, and ability to manage multiple priorities 

Excellent communication skills, both written and verbal 

Strong collaboration skills, ability to build partnerships with leadership team, and manage confidential projects. 

Action oriented, proven record of accomplishment in driving for results. 

Takes initiative; results oriented; influences others to achieve common goals. 

Highly organized with strong attention to detail and ability to manage multiple priorities simultaneously.

Proficient with Microsoft Office software (i.e. PowerPoint, Excel, Word, Teams)

This is a remote, 5 days per week role with overtime as needed, and accessible 24/7 via telephone and e-mail to handle urgent requests

Valid US passport and availability to travel domestically and internationally

Education / Certifications

Bachelor’s degree preferred
