CompanyFederal Reserve Bank of St. LouisWe are looking for a Senior Administrative Assistant to provide primary administrative business support to officers, managers, and staff of the Supervision Division. As a Senior Administrative Assistant, you will report to a Manager and manage several matrixed functions, administrative tasks. You will exercise the highest levels of professionalism and tact in interactions with Federal Reserve (Fed) System and District personnel, bank officials, and government representatives. You will work onsite in the St. Louis office.Responsibilities
Maintain calendars for officer(s): schedule appointments, avoid conflicts, provide transition time and improve productivity time.
Make travel arrangements for officer(s) and staff; may organize off-site meetings and conference sessions including planning accommodations, travel, facilities, meals, and audiovisual/electronic equipment, videoconference or teleconference sessions.
Develop PowerPoint or similar presentations using spreadsheets and database systems to enter information and create reports, graphs, compile information upon request; may help prepare status reports.
Coordinate tasks for the Supervision Division including room reservations, maintaining attendance lists, visitor notifications, food requests and A/V equipment.
Prepare and distribute materials for meetings; may develop agendas, take and transcribe meeting minutes, and distribute documents.
Pays for items; ensure all invoices are on file, bills are charged to the correct account, appropriate documentation accompanies bills and that they are verified by management on time to reconcile the purchasing card.
Schedule meetings and conference calls with all parties; work with individuals from the Supervision Division to avoid conflicts in meeting times.
Maintain sensitive office automated and paper file systems.
Help with the new hire process to provide a smooth onboarding experience.
Coordinate and help set up for different Bank or department sponsored activities. Examples of such are employee appreciation lunches, bank sponsored events like United Way or Canned Food Drive, or project related events.
Qualifications
High school diploma or equivalent.
4 years' experience in executive level administrative and business support.
Use tact in dealing with high-level officials and in solving administrative concerns.
Considerable knowledge of executive office practices and protocols, and ability to excel at organizational processes.
Proficient in Microsoft O365 Suite, SharePoint Online, audio/video conferencing (Teams, WebEx and Zoom), and other business applications.
Considerable skill in: drafting correspondences and prooing and correcting draft correspondences; create correspondence, forms and tables. Enter and extract data using spreadsheets and databases, and managing personal time.
