A. Jenning Properties, Inc. is a small property management company based in St. Peters providing specialized services to condominiums and homeowners associations. We are seeking an administrative assistant to join our team, working closely with the owner of the company to provide support for our clients. This is an entry level position. No property management experience is required, and if you succeed there is the potential establish a career in an in-demand specialized field of property management with great long-term earning potential. Key Responsibilities
Answering phone calls from our clients and helping them with basic level needs or routing them to the correct person on our staff to help them.
Replying to emails and writing letters to our clients, which is the majority of our correspondence with them.
Scanning and organizing documents on a shared cloud drive.
Learning specifics about each of our clients to understand their unique needs and the aspects of their community relative to our day-to-day operations.
Posting checks and making bank deposits using an electronic scanner in our office.
Assisting the owner and the property managers as needed with tasks they will provide instructions for.
Key Requirements
High school diploma or equivalent education.
Excellent customer service skills and conflict resolution, as given the nature of our business we are most often communicating with people regarding problems they are experiencing.
Strong English and writing skills with a firm grasp on proper grammar, spelling, punctuation, etc., as most of our communications are in written form.
An understanding of math to at least an algebraic level, as you will be analyzing information from various financial reports. We will teach you to read this information, but if you don’t have a decent grasp on math to at least an algebraic level, this will be difficult for you.
You will be taught to use the software we use, but a decent understanding of Microsoft Word with an understanding of how to perform mail merges and Excel with the ability to write and interpret basic formulas is necessary.
Reliable transportation with a vehicle that presents well and a smartphone. At this entry level, you will not need to drive for work or use your smartphone for business purposes. However, upon your first promotion, this will be necessary. You do not need an expensive newer car, as our entire staff, including the owner, drive 10+-year-old vehicles. But your vehicle should not be visibly damaged, have off-color stickers and decals, have expired plates, etc. Once you are asked to drive and use your personal phone for work, you will be compensated additionally for this, with $100 per month towards your phone bill and the IRS mileage rate for all business miles driven.
ATTENTION TO DETAIL IS ABSOLUTELY CRITICAL. Very minor mistakes can be very costly to the company. No one is perfect, but a strong attention to detail in your work is a must to succeed here.
Because we handle a substantial amount of money that doesn’t belong to us, certain criminal convictions will preclude us from hiring you for compliance with insurance requirements. A background check and drug screening will be required as part of a conditional offer of employment.
Schedule and Work Environment
Work hours are Monday to Friday, 9am to 5pm. While not at the entry level, as your career progresses you will need to attend after-hours meetings with our clients both at our office and at other locations within town. Weekends are never required at any stage in your employment.
Dress code is casual most of the time, just nothing offensive, shirts with large logos or writing, etc. The owner wears jeans and t-shirts most days. If we have a scheduled meeting with a client, business casual is the dress code. Only on rare occasions is formal business dress required.
You will work from an office across the hall from the owner at our St. Peters office. Your office hosts work stations for our property managers when they are in from the field, but most of the time you’ll have the office to yourself. While there may be rare occasions you can work in a limited capacity from home, such as when there’s winter weather and the roads aren’t clear, this is an in-person position and punctuality is important.
Compensation
Pay is on an hourly basis for this position with a salary to come with promotions. This is a 40/hr per week position.
You will accrue 8 hours of PTO per month of employment. After 60 days of employment you can use up to the amount you will accrue per year of employment before you’ve accrued it, but if you leave with used, unaccrued PTO it will be taken from your final paycheck.
You are eligible for health, dental and vision insurance with half of your personal premiums paid by the company and dependent coverage available at your expense. The health insurance is through United Healthcare and is excellent coverage, with in-network deductibles of $500 per individual and $1000 for your family. You are eligible for benefits starting the first full month after your 60-day probationary period.
Pay dates will be every two weeks. You will work for two weeks and be paid the Friday of the third week. Direct deposit is required.
We are happy to hire someone who is capable of fulfilling this role, but what we’re really hoping for is a very intelligent person who strongly demonstrates the core skills required above and has the potential to grow with us. We are not the kind of company to ask you to go above and beyond to prove yourself for an extended period of time before we will reward that effort. The potential progression in this position and the more responsibilities you show us you can handle could see you promoted and earning substantially more, even within just a few months, if we see you’re capable of it.
