Job Description:This position provides and oversees a variety of semi-routine clerical and specialized administrative functions generally of a critical or confidential nature for one or two small departments, clinics, or mid-level managers and may be assigned administrative or support related projects that are narrow in scope and complexity. This role is assigned to those with a primary responsibility to provide traditional administrative support such as:Monitoring of a central inbox to receive and send invoices to Contracting end users and submit for payment to Accounts PayableFacilitate the approval of invoices throughout the Region (including 8 hospitals and 6 medical groups), and provide status updates as neededData entry of Contract details into an Excel spreadsheetScopeAs an Administrative Assistant, you need to know how to:Answer and transfer phone calls, screening when necessary.Welcome and direct visitors and clients.Maintain filing systems as assigned.Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.Respond to and resolve administrative inquiries and questions.Coordinate and schedule travel, meetings, and appointments for managers or supervisors.Prepare agendas and schedules for meetings.Record and distribute minutes or other records for meetings.Maintain office supplies and coordinate maintenance of office equipment.Maintain a system for recording expenses.Successfully prioritize and perform multiple projects, tasks, and assignments while ensuring their effective and timely completion.Provide assistance, guidance, and direction to visitors, patients, staff and vendors entering the Administration area. Ascertain the nature of their business; assist and/or direct them to various locations in the hospital when appropriate.Call for escort when necessary.Follow through on routine matters without supervision. Through experience, know which matters can be handled alone and which should be referred to others, such as, responding to inquiries that require interpretation of hospital/administrative office policy, practices, procedures and guidelines whenever possible to conserve senior teams time.   • Summary This position is in the Agricultural Research Service (ARS), Field Organization, Plains Area (PA), Location Support Staff located in Lincoln, NE. In this position, you will provide leadership in the management of business functions in support of research programs. Such functions include management advisory services, budget, human resources, agreements, purchasing and contracting, safety, and facilities. Responsibilities Manages all phases of budget formulation, execution, and administration. Manages and leads the planning and execution of the Annual Resource Management Plan (ARMP) for the location. Performs cost determinations for use in negotiation of such items as overhead charges, use of facilities, personnel to be furnished, and means of compensation. Advises management officials regarding laws, regulations, and policies dealing with workforce diversity, recruitment, merit promotion, employee and labor relations, and other human resources related activities. Initiates the visa process in instances where non-citizens have been selected for location positions and assures that the appropriate visa clearance has been received before an entrance on duty date is finalized. Serves as a resource for Headquarters components in one or more administrative functions to include testing and analysis of systems and participation in task groups with Area/Agency wide implications. Works closely with location and Area management officials to ensure business needs of the customer are achieved. Integrates management needs with the general business processes of the location. Reviews requests for personnel actions and provides advice and recommendations to management officials on propriety, relative need, and special problems which may be encountered in processing such requests.
