Homeowners Association (HOA) Coordinator: An Entry-Level Opportunity in Property Management Join our team as an HOA Coordinator, a key role in managing HOA and City Code Violations, HOA Assessments, Correspondence Intake, and various Escalation items related to HOA matters. The responsibilities may be assigned in whole or in part based on departmental needs. Responsibilities:
Conduct annual or as-needed audits of assigned portfolio HOA assessment accounts, ensuring timely payment of HOA account balances in line with assessed amounts.
Address and process HOA and City Code related inquiries for resolution. Create work orders to resolve HOA and City Code violations.
Handle daily mail and other correspondence items related to HOA matters from the associations where company homes are located. This includes daily scanning and classification of received correspondence.
Dispute contested fines with HOAs and municipalities; process payments regarding HOA and city code warnings, hearings, and fines violations; make payments as appropriate.
Communicate violations with tenants and discuss violations for unoccupied homes with internal stakeholders.
Complete Architectural Change (ARC) forms for HOAs and address liens and attorney letters related to HOA and City Code violations.
Requirements:
High School diploma or GED is strongly preferred or equivalent experience.
Bachelor’s Degree is desirable.
Prior HOA experience is a plus.
Experience with Microsoft CRM Dynamics and Yardi is beneficial.
Prior experience in Customer Service is a plus.
Proficiency in Microsoft Office (Word, Outlook, and Excel) is necessary.
Excellent verbal and written communication, problem-solving, planning, and analysis skills are required.
Strong relationship management, organizing, and customer service skills are needed.
Candidates should be capable of maintaining confidentiality and meeting multiple deadlines.
The capacity to implement process improvement changes is important.
Candidates should be able to work in a team environment and adapt to changes.
Attention to detail is essential.
