Job Overview
We are seeking a skilled and experienced Administrative Specialist with a background in CPAP and BiPAP devices and Medicare Billing. In this role, you will provide essential administrative support while leveraging your knowledge and expertise in CPAP and BiPAP equipment. License is not required. Your understanding of these devices will be instrumental in assisting patients and ensuring smooth operations within our organization. Able to handle billing and coding for Durable Medical Equipment (DME) claims, ensuring compliance with Medicare regulations and timely reimbursement. The ideal candidate will have a strong background in Medicare billing processes, specifically related to DME claims, and an in-depth understanding of the DMEPOS fee schedule and related healthcare policies.
Key Responsibilities
Assist in managing administrative tasks, including scheduling appointments, maintaining records, ordering, billing and organizing documentation related to CPAP and BiPAP devices.
Coordinate with healthcare professionals, suppliers, and patients to ensure efficient delivery and tracking of CPAP and BiPAP equipment.
Utilize your extensive experience with CPAP and BiPAP devices to provide guidance and support to patients regarding device usage, care, and maintenance.
Collaborate with insurance companies and billing departments to facilitate claims processing and ensure accurate reimbursement for CPAP and BiPAP equipment.
Manage inventory levels of CPAP and BiPAP supplies, ensuring an adequate stock is maintained and reordering when necessary.
Maintain accurate and up-to-date records of patient information, device settings, and interventions.
Stay informed about industry developments and advancements in CPAP and BiPAP technology to provide informed recommendations and support.
Medicare Billing & Coding: Prepare and submit accurate Medicare claims for DME equipment and supplies, including CPAP machines, oxygen equipment, and other home healthcare products.
Compliance: Ensure all claims are in compliance with Medicare rules, regulations, and policies, including proper documentation for medical necessity and authorization.
Claims Follow-Up: Follow up on denied or rejected claims, resolve any billing issues, and work with Medicare and insurance companies to ensure claims are paid promptly.
Customer Support: Assist patients with billing inquiries, and provide information on Medicare benefits, coverage, and out-of-pocket costs.
Medicare Documentation: Manage and maintain necessary records, including patient documentation, authorization forms, and certificates of medical necessity.
Fee Schedule Knowledge: Stay up-to-date with changes to the Medicare DMEPOS fee schedule and other related billing guidelines.
ABN Handling: Provide patients with Advance Beneficiary Notices (ABN) when necessary for non-covered services, ensuring full understanding of patient financial responsibility.
Qualifications
Minimum of 1500 hours of work experience with CPAP and BiPAP devices, ideally in a clinical or DME (Durable Medical Equipment) setting.
Strong understanding of CPAP and BiPAP equipment, including setup, calibration, troubleshooting, and maintenance.
Excellent administrative and organizational skills, with the ability to manage multiple tasks and prioritize effectively.
Proficient in using software applications such as electronic medical record systems, billing software, and Microsoft Office Suite.
Outstanding communication skills, both written and verbal, to effectively interact with patients, healthcare professionals, and other team members.
Detail-oriented with a focus on accuracy and maintaining thorough documentation.
Experience: Minimum of 2-3 years of experience with Medicare billing for DME or in a similar healthcare billing role.
Knowledge: Strong understanding of Medicare Part B, DME billing codes (HCPCS), DMEPOS fee schedules, and regulatory requirements.
Skills: Excellent attention to detail, strong communication skills, and the ability to resolve billing issues efficiently.
Technical Proficiency: Experience with billing software and Electronic Health Records (EHR) systems.
Certifications: Certified Professional Coder (CPC) or Certified DME Specialist (CDME) certifications are a plus.
