Job: Operations Manager
Full-time Salary In Office
65k start (or DOE), with seasonal bonuses and incentives
The Operations Manager plays a pivotal role in ensuring the smooth and efficient operation of our short-term rental properties. You are the backbone of the guest experience, overseeing everything from pre-arrival preparations to post-departure cleaning and maintenance, spring/fall maintenance, remodels or large projects, home inventories, office organizing. This role requires a highly organized, strong communicator and detail-oriented individual with a passion for exceptional service and/or the STR industry.
Responsibilities:
Pre-Arrival Operations:
1. Manage and oversee the pre-arrival team to ensure properties are ready for guests (cleaning, amenities, functionality).
2. Coordinate with cleaning crews, inspectors, and maintenance personnel to schedule and track task completion.
3. Utilize property management software to assign tasks, track progress, generate reports, and maintain accurate property information.
4. Conduct seasonal inspections to verify the property meets cleanliness and functionality standards.
Guest Experience:
1. Develop and implement company processes to ensure a seamless and positive guest experience from booking to checkout.
2. Manage guest communication via phone, email, and texting platforms
3. Address guest inquiries, concerns, and complaints promptly and professionally based on the company policies.
4. Oversee check in at 4pm
5. Conduct periodic guest satisfaction surveys and implement improvements based on feedback.
6. Coordinate resolution of guest issues during their stay (e.g., maintenance requests, amenity malfunctions).
Inventory Management:
1. Maintain accurate and up-to-date inventory of all supplies and amenities in each property.
2. Develop and implement a system for restocking supplies (cleaning products, linens, toiletries) based on usage and occupancy rates.
3. Track and manage linen services to ensure timely laundry turnaround.
4. Coordinate with vendors for bulk purchases and ensure cost-effectiveness.
Quality Control:
1. Conduct regular inspections of properties to ensure cleanliness, safety, and functionality meet high standards.
2. Implement company quality control procedures for cleaning crews and maintenance vendors.
3. Document and address any maintenance issues promptly, coordinating repairs with vendors.
4. Maintain detailed records of maintenance requests and repairs completed.
Communication and Reporting:
1. Maintain clear communication with property owners regarding the status of their rentals (guest reviews, maintenance updates).
2. Collaborate effectively with all team members (cleaning crews, maintenance personnel, property owners).
Qualifications:
1. Proven ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
2. Excellent organizational skills and a keen eye for detail.
3. Strong communication and interpersonal skills, both written and verbal.
4. Ability to work independently and as part of a team.
5. Excellent problem-solving skills and a proactive approach to resolving issues.
6. Strong analytical skills and ability to interpret data to identify areas for improvement.
7. A valid driver's license, reliable transportation and local housing (North Lake Tahoe, Truckee) required.
