Job Summary:

This is a key role, reporting directly to the Vice President. Management duties include responsibility for the residential custom home bid process and administrative project management from start to completion.

Essential Functions:

1. BID MANAGEMENT: Create bid documents based on client information. Present bids to clients, ensure their understanding the materials, document all change requests and implement those that are agreed upon.

2. PROJECT MANAGEMENT: This position is the conduit for all information that takes place on projects between Homeowners, Site Supervisors, Subcontractors & Material Suppliers. Proactively ensure that all material and subcontractors are scheduled to be on project site according to scheduling/calendar determined by Site Supervisor to track each project, note milestones being met or action being taken to get the project on track. Work with clients to collaboratively address concerns regarding the dissemination and clarification of information. Manage project budgets based on vendor selections. Communicate with clients, Site Supervisors and Vendors on a regular basis. This position is an office administrative position, not a field position.

3. LEADERSHIP: Accountability for the tracking of ongoing planning and progress of each project. Collaborate with team members to have bids and budgets developed, maintain subcontractor collaboration, clients satisfaction. Work with material suppliers and subcontractors to meet deadlines and maintain quality.

Knowledge, Skill and Ability:

1. Experience MUST include at least one year of residential construction industry experience, WORKING UNDERSTANDING (READING) OF ARCHITECTURAL DRAWINGS, residential construction processes, and strong people skills.

Strong computer skills with MS Office including software for organization and rudimentary Excel experience (Calendaring, scheduling, task tracking, etc.) is critical.

2. Core Traits and skills required:

Organizational skills are critical for bid and administrative project management. Incumbent must master effective systems to receive, sort, document, act on and archive materials related to each project. This includes hard copy papers, plans, invoices, etc, electronic information like emails and research results and notes from meetings, phone calls and other interactions

Client advocacy: Collaborate with clients to ensure they get as much value as possible from their investment. This requires excellent active listening skills, a drive to find the solution to get the client what they want, the personal influence to help them consider alternatives. Relationship skills are necessary here, including humility, genuine interest in the clients story and establishing credibility and trust with the client.

Leadership: Through personal influence and example, develop strong professional partnerships. Build credibility and respect with subcontractors and suppliers. Maintain commitment to achieving goals even in the face of obstacles and frustrations. Demonstrate a sense of urgency about solving problems and getting work done. Collaboration with peers regardless of title or function will allow incumbent to be more effective and provide a better result for the client.

Attention to detail: Accuracy is required for all phases of the project and impacts billing, supplies, construction and client satisfaction. Details must be reviewed, documented, verified and communicated.

Decision-making: Ability to make good decisions based on a mixture of analysis, wisdom, experience, and judgment. Sought out by others for advice and solutions, lead by example. Anticipate problems and adapt well to changing priorities. Willing to take action, even under pressure, criticism or tight deadlines. Take ownership of problems and share success.
