Hospitality Support

This is a fast-paced, high-volume hospitality role supporting a busy six-floor corporate office with multiple kitchens, pantries, conference rooms, and near-daily catered events. Hospitality Associates are expected to work independently with minimal supervision while completing five daily floor sweeps, maintaining hospitality spaces every two hours (and as needed), setting up and breaking down meetings and events, coordinating food deliveries, managing vendors, restocking supplies, and ensuring conference rooms are fully prepared with catering, beverages, and audio/visual equipment. The office typically hosts 5-10 catered events per day, requiring strong organization, attention to detail, and the ability to prioritize competing demands in a constantly changing environment. Candidates must be comfortable being on their feet for most of the day, multitasking, and delivering exceptional customer service while anticipating client needs. A Food Handler Certificate is strongly preferred due to the volume of food service responsibilities, though training can be provided. This role offers clear opportunities for growth into a Senior Hospitality Associate position with increased responsibility for leading office-wide hospitality programs and recurring events. Successful candidates will be self-motivated, dependable, proactive problem-solvers who enjoy working in a high-energy environment and taking ownership of their work.Location: Midtown Manhattan, New York, NY Contract: Permanent, full timeShifts: 40 hours per week, Mon-Fri 9am-6pm with a 1-hour unpaid lunch; some flexibility is requiredYou will have the opportunity to work overtime at least once a monthWork model: Fully onsite Check the conference room and meeting schedule throughout shift and make note of any changes to ensure meetings are set-up accuratelySet up conference rooms according to client’s request, including audio/visual equipment, food, beverages, utensils, ice, etc Clean up conference rooms after use and return property to vendors if necessaryPrepare coffee and other beverages in assigned kitchens each morningClean up coffee makers and the pantry in each kitchen in the evening and throughout the dayCommunicate with supervisor or client on meeting request concerns or deadline issues Maintain inventory of catering supplies and order supplies as neededPlace orders for food and beverages for use during meetingsCoordinate and act as liaison with personnel, food merchants, selected contact and outside vendor(s) to ensure the pricing is competitive and reviewed quarterlyEnsure the value-added products and services are secured at competitive rates that have been vettedPerform appropriate vendor selection and management associated with department services and/or productsAssist in training new hiresPrioritize workflowAssist in process improvement ideasAnswer telephone in Office Services centerAdhere to Williams Lea policies in addition to client site policiesUse equipment and supplies in a cost-efficient mannerMust be able to lift up to 50 lbs. on a regular basisProvide back-up support to Reception and/or Office Services as needed
