Job Description

The Coordinator, Site Operations provides on-site administrative support services and project work for Watkins Glen, NY location for both the Site Operations and Development

Operations teams.

Site Operations:

● Coordinate mail processing, sorting and distributing all incoming/outgoing mail and

packages. Maintain shipping vendor relationships and financial reporting

● Perform routine logistical offsite tasks in Watkins Glen and surrounding area including

banking, mail pickup and other offsite tasks

● Field all general inquiries to Farm Sanctuary's primary office, including incoming calls,

voicemails, and emails, and assist office visitors.

● Support maintenance of building, vehicle and equipment tracking and documentation

including Google Suite records and hard files

● Coordinate cleaning of shared/temporary housing units, which may include limited

hands-on house cleaning tasks as well as external vendor service requests

● Support regular assessment and implementation of fire prevention, first aid and other

safety programs

● Assist with planning and logistics for Site Operations Team lunches, meetings, staff

training opportunities and on call schedule.

● Coordinate general office supply orders and inventory and maintain Site Operations’

petty cash

● Support interdepartmental communication and collaboration, such as the

communications, fundraising, environment and animal care teams, to ensure alignment

and support for organizational goals

Development Operations:

● Process incoming donation , including check deposits and accurate entry into CRM and

financial services

● Update mailing list and support duplicate record resolution in CRM services

● Coordinate donor care volunteers

● Support regular assessment, updates and documentation of protocols, identifying

improvements and efficiencies in processes

Preferred Qualifications:

● Ideally 2 to 4 years of experience in an operations or administrative role or CRM donor

database and administrative work

● Effective verbal and written interpersonal communications skills

● Ability to display sensitivity, tact and responsiveness with constituents, staff,

management, especially with confidential information

● Efficient organizational skills and attention to detail

● Ability to work in a dynamic environment, handling varied tasks simultaneously while

meeting multiple and competing deadlines

● Adept technological skills including willingness to learn new platforms as needed;

Intermediate proficiency with spreadsheet and document creation software required;

database experience preferred

● Resourcefulness and effective problem solving skills

● Poise and fluent adaptability to unexpected situations and developments

● Ideally a valid driver’s license is preferred. Must meet insurability standards for company

vehicle access.

● Familiarity with Farm Sanctuary programs preferred

Physical Requirements:

● Ability to lift up to 50 lbs occasionally; up to 25 lbs regularly

● Ability to perform prolonged periods of sitting in a stationary position when performing

administrative tasks.

● Perform repeated motions involving the wrists, hands, and/or fingers for data entry, filing,

and using office equipment (computers, phones, etc.).

● Ability to bend, lift, push, stoop, stretch, climb, and crawl as needed to perform various

tasks around the facility.

● Must be able to communicate effectively in person, by telephone, video conferencing,

and other electronic communication methods.

● Close visual acuity is required to perform activities such as reading reports, analyzing

data, and viewing computer terminals.

● Must be able to ascend or descend ladders, stairs, and ramps to perform tasks such as

accessing storage areas, equipment, or multi-level sites.

● Must be able to travel to banks, stores or other locations on behalf of the company by

means of driving, rideshare, or other forms of transportation.

Pay: $20-$21.50
