Payroll Specialist

The Carmelite System is a multi-state not-for-profit senior living organization sponsored by the Carmelite Sisters for the Aged & Infirm.

We are seeking to hire a Payroll Specialist/Analyst.

This corporate level position is hybrid remote requiring 2 to 3 days/week working in our Germantown, NY office.

Pay range: $50K to $60K per year.

Payroll Specialist/Analyst Qualifications:

Bachelor’s degree in Accounting, Finance, Data Analytics, or related field.

2+ years of experience with payroll/timekeeping software (e.g., ADP, Workday, UKG, Ultipro).

Proficiency in Microsoft Office products (Outlook, Word, PowerPoint, Teams).

Intermediate to Advanced Microsoft Excel skills.

Excellent organizational skills and attention to detail.

Ability to maintain confidentiality and handle sensitive information.

Strong communication skills, both written and verbal.

Preferred Qualifications

Experience with a UKG related Payroll Software

Non-for-Profit or Nursing Home Experience

Payroll Specialist/Analyst Job Summary:

Payroll Processing

Assist with Payroll Processing related tasks on Bi-weekly/monthly basis.

Ensure all payroll transactions are processed accurately.

Adhere to strict deadlines for Payroll Processing, Reconciliation, Data Entry.

Compliance and Reporting

Stay up to date with federal, state, and local payroll laws, ensuring all legal requirements are met.

Review payroll tax returns, including W-2s, 1099s, and other required documentation.

Ensure compliance with nonprofit-specific financial and accounting regulations.

Audit and Efficiency

Assist with internal audit of Bi-Weekly/Quarterly/Annual payroll-related data and reports.

Collaborate with other team members to increase audit efficiency.

Assist in reviewing and documenting current Payroll/Timekeeping processes.

Records Management

Maintain accurate payroll records for all employees.

Ensure proper documentation of employee benefits, leave balances, and salary adjustments.

Prepare check request for garnishments, benefits deductions, and reconciliation of all related employee and balance sheet accounts related to deductions.
